Job Summary

Grand Rail Development is seeking a detail-oriented and organized full-time Office Assistant to support our administrative team. The ideal candidate will be responsible for managing daily office tasks, ensuring smooth operations, and providing excellent support both internally and to our subcontractors/vendors and customers. This role requires strong computer literacy, effective communication skills, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities:

  • Perform administrative tasks such as answering phones, greeting customers, collecting and sorting mail, filing, and responding to emails.
  • Manage inventory of office supplies, building materials, and apparel.
  • Verify invoices against bids and reconcile vendor statements.
  • Respond to and coordinate service calls and punch list items in a professional manner.
  • Manage property management responsibilities for commercial leased properties and HOAs, including responding to service requests, collecting and tracking rent income, scheduling routine maintenance and inspections, collecting and awarding bids for lawn care and snow services, and other miscellaneous requests.
  • Manage the key directory, including checking in and out for subcontractors.
  • Manage the bid acquisition process for open projects.
  • Coordinate and provide required paperwork to realtors for residential closings.
  • Manage the recruiting process, which includes screening applicants and scheduling interviews for laborer positions as needed.
  • Update Grand Rail Development's website regularly.
  • Support staff with additional tasks as requested.

Required Skills and Qualifications

  • 2-3 years of office experience
  • 2-3 years of customer service experience
  • Proficiency in Microsoft Excel and QuickBooks
  • Ability to self-manage and prioritize assigned tasks with attention to detail

Preferred Skills and Qualifications

  • General construction knowledge preferred
  • Real estate experience preferred
