Administrative Coordinator

A Commercial HVAC/R company, Airlogix, is seeking a versatile and proactive Administrative Assistant to support government and local agency client contracts. This role will also provide crucial support to management and account managers, handling various administrative tasks and ensuring smooth cross-functional communication.
Key Responsibilities- Government & Local Agency Contracts: Assist in managing the preparation, submission, and ongoing maintenance of government and local agency contracts, ensuring timely compliance with all regulations.
- Support for Account Managers: Provide essential administrative support to account managers by organizing job schedules and communicating updates to clients.
- Invoicing and Documentation: Prepare and manage invoices related to government contracts and service agreements, while maintaining accurate records and documentation.
- Administrative Support: Handle routine office tasks such as answering phones, emails, organizing supplies, and managing office facilities as delegated by management.
- Proven experience in an administrative or support role, with exposure to government contracts or the HVAC/refrigeration industry a plus.
- Experience with prevailing wage is preferred.
- Strong organizational and multitasking skills with a focus on project management and execution.
- Excellent written and verbal communication abilities.
- Proficiency in Google Suite (Docs, Sheets, Slides) and experience with CRM or contract management software.
- High levels of responsibility, integrity, and accountability in managing tasks and client relations.
- Ability to work independently and collaboratively in a fast-paced environment.
