Position Overview

The Executive Secretary plays a pivotal role in providing comprehensive administrative support to high-level management, ensuring efficient operations within the agency. Key Responsibilities

  • Deliver a broad range of administrative and secretarial support to executive leadership.
  • Ensure timely completion of assignments while maintaining adherence to organizational policies.
  • Serve as a liaison, conveying essential information and updates to staff and stakeholders.
  • Organize and coordinate training sessions, travel arrangements, meetings, and special events.

Required Knowledge and Skills

  • Proficient in administrative practices, including effective calendar management and organizational techniques.
  • Understanding of governmental operations and agency functions.
  • Familiarity with data collection methods and report generation.
  • Competence in recordkeeping and file management, both digital and physical.
  • Knowledge of business correspondence standards, including memo and letter composition.
  • Leadership and mentoring principles.
  • Proficient in office technologies and software applications relevant to administrative tasks.
  • Strong command of English grammar, spelling, and punctuation.

Qualifications

Minimum Requirements:
Option 1: Two years of full-time paid experience in a secretarial or administrative role within a governmental agency, directly supporting a managerial position.
Option 2: Four years of full-time clerical experience with primary responsibilities including calendar management, agenda preparation, and call screening.

Additional Information

Probationary Period: A probationary period of six months applies to this position.
