The Strive Resiliency Clubhouse is dedicated to offering individual therapy, skills development groups, family support sessions, and engaging activities for members aged 6-18 who are facing mental health challenges.

Strive creates a supportive environment free from stigma, utilizing DBT-informed practices to help members cultivate skills applicable in their everyday lives.

The Administrative Support Specialist plays a crucial role in managing patient flow and ensuring that the center's administrative requirements are effectively addressed.

This position involves independently resolving routine administrative issues, registering new clients promptly during open access, and managing client check-in and check-out processes for their appointments. Additionally, the specialist will schedule hospital discharge appointments and handle telephone inquiries in a professional and courteous manner.

Responsibilities include verifying authorizations, treatment plans, and connecting orders for service, consent, and eligibility for future appointments.

This role also requires maintaining databases, logs, and other records of routine information.

Responding to information requests and maintaining an organized, accessible filing system while adhering to confidentiality regulations regarding the management and release of file information is essential.

Under general supervision, the specialist will perform a variety of general secretarial, clerical, and administrative support functions or a few specialized or essential clerical

tasks in support of a unit or office and related personnel. Data entry and document processing are also part of the responsibilities. The work involves operating standard office equipment and is performed under the general supervision of a clerical or administrative supervisor.

Duties & Responsibilities:

  • Oversee front lobby operations and provide information about program services via phone.
  • Collect and upload all Pcard receipts into the banking portal.
  • Manage petty cash, supply orders, and process check requests.
  • Log and upload relevant client documents received from external sources into electronic medical records.
  • Coordinate maintenance for the building and vehicles.
  • Act as the first point of contact for referrals, inputting information into Carelogic and following up to obtain necessary documentation for intake.
  • Serve as a Safety Committee Representative by attending meetings and conducting drills.
  • Transport members to and from the Clubhouse and various outings.
  • Co-facilitate skills development groups with members.
  • Participate in outings and activities.

Minimum Qualifications:

High school diploma or GED AND Two (2) years of general office or administrative experience

Preferred Qualifications:

  • At least one (1) year of experience in a medical or mental health environment.
  • Bilingual in Spanish and English.
  • Strong, engaging, and personable communication skills.
  • Experience leading skills groups with children and teens.
  • Background in a medical or psychological office, or DBHDD.
  • Familiarity with Carelogic or other electronic record systems.
  • Proficient computer skills, including knowledge of Microsoft Word, Excel, and Medical Terminology.

  • Highly organized and detail-oriented.

Requirements/Competencies:

  • Bilingual (Spanish).
  • Ability to lift 20 pounds.
  • Capable of long periods of sitting and standing.
  • Must be able to respond quickly to sounds.
  • While performing the duties of this job, the employee is frequently required to sit, move about, hear, and speak.
  • Candidates must pass a criminal background check (including fingerprinting).
  • Must pass a pre-employment drug screen and be subject to random drug tests.
  • Any combination of training and experience that would enable the applicant to acquire the necessary knowledge, skills, and abilities. Note: Some positions may require a valid driver's license.
