Job Summary

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at Hire Velocity. The successful candidate will provide exceptional customer service, manage front office activities, and support our leadership team.

Key Responsibilities
  • Front Office Management: Manage all daily front office activities, including answering calls, redirecting them to the correct extension, sorting mail, ordering office supplies, providing hospitality to guests, and assisting team members in interfacing with the facilities team.
  • Administrative Support: Assist with internal communications, respond efficiently and effectively to requests made by the management team, and inform the respective team member when the request(s) have been completed.
  • New Hire Onboarding: Assist candidates and/or newly hired employees when interviewing, filling out new hire paperwork, completing their drug screen and other related tasks.
  • Communication and Coordination: Prepare and maintain basic reports, send out internal communications, and coordinate meetings as requested by the supervisory team.
  • Confidentiality and Discretion: Protect highly confidential and sensitive information, and maintain the confidentiality of all information.
Requirements
  • Education: Bachelors degree in English, Communications, Journalism, or a related field.
  • Experience: 3 to 5 years of prior experience providing excellent customer service and front desk support.
  • Skills: Excellent written and verbal communication skills, highly organized and proficient at multi-tasking, detail-oriented, ability to manage highly confidential information in a trustworthy manner, comfort taking direction from multiple members of the leadership team, self-motivated and able to prioritize and organize work based on changing and challenging deadlines.
