About the Role: Phyton Talent Advisors is in search of an Administrative Coordinator to support our dynamic team.

Key Responsibilities:

  • Financial Management: Handle the initiation and processing of invoices, expense reports, and internal transfers.
  • Procurement Oversight: Manage requisitions, purchase orders, and vendor setup, ensuring clear communication and collaboration across departments.
  • Transaction Reconciliation: Monitor and verify P-Card purchases and other financial transactions.

Office Management:

  • Serve as the primary contact for visitors and inquiries, directing them appropriately.
  • Oversee daily office operations, including supply inventory management and equipment maintenance.
  • Enhance the process for conference room bookings and coordinate maintenance requests.
  • Ensure technology is set up for meetings and events, demonstrating a comprehensive understanding of relevant tools.
  • Plan and manage logistics for on-site conferences, including catering and venue arrangements.

Staff Support:

  • Assist in the recruitment process by managing job postings and candidate materials.
  • Collaborate with management to optimize calendar efficiency.
  • Provide high-level administrative support, including document preparation and correspondence management.
  • Facilitate travel arrangements and provide guidance on travel policies.
  • Troubleshoot routine office equipment and IT issues, escalating as necessary.

Qualifications:

  • Bachelor's degree or equivalent experience, with 2-4 years in a related role.
  • Technical Skills: Proficiency in Microsoft Office and Outlook is essential.

Preferred Skills:

  • Familiarity with various systems and policies related to financial and administrative operations.
  • Demonstrated problem-solving abilities and resourcefulness.
