Job Title: Administrative Coordinator

**Job Summary:**

We are seeking an experienced Administrative Coordinator to join our team at Hunter College. The successful candidate will provide administrative support to the Director of Athletics and Recreation and the overall athletic department.

Key Responsibilities:

  • Provide administrative support to the Director of Athletics and Recreation and the overall athletic department.
  • Book travel plans for teams, coaches, and administrators, including reconciling meal money, gas receipts, and other expenses.
  • Make meeting arrangements with administrative and coaching staffs in-person and virtually.
  • Assist in the onboarding and offboarding of staff, following college policies to minimize delays.
  • Ensure efficient and smooth day-to-day operations of the athletic offices, maintaining a professional environment.
  • Coordinate multiple athletic, recreation, staffing, championship, and operations schedules, managing the internal 'master calendar'.
  • Serve as the point of contact for internal and external affiliations.
  • Assist in the management of the athletic alumni database and reports, as needed.
  • Support athletic and recreation events, such as the athletic hall of fame, athletic homecoming, and athletic banquet.
  • Provide general administrative support to students, staff, coaches, and guests.
  • Liaise with other administrative offices to handle requests and queries from other college offices.

Qualifications:

  • Bachelor's Degree required.
  • Proven experience as an administrator and office manager.
  • Enhanced knowledge and proficiency of MS Office and procedures.
  • Working knowledge of office equipment, such as printers, copiers, and scanners.
  • Excellent time management skills, attention to detail, and ability to work in a fast-paced environment.
  • Strong organizational skills.
  • Excellent written and oral communication skills, including understanding of social media uses.
  • Ability to manage confidential information, including HIPPA/FERPA, academic, and fiscal records.
  • Ability to manage complex internal systems within a city/state entity.

The Administrative Coordinator will support projects, initiatives, and activities that impact an academic or administrative department. The successful candidate will manage basic office functions, such as communications, meeting schedules, work plans, staff assignments, and distributing information.

  • Updates office databases, lists, and files to ensure completeness and accuracy.

  • Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.
  • Maintains department fiscal plans and budgets, assists in budget administration, and invoice processing.
  • Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.
  • May supervise office staff and student workers.
  • Performs related duties as assigned.
