This administrative role is essential in providing comprehensive support to the Body Shop Manager and the overall department. Ideal candidates will demonstrate exceptional communication abilities with a strong emphasis on ensuring customer satisfaction.
Key Responsibilities:
1. Manage and direct incoming written, electronic, and telephone communications, both internal and external.
2. Schedule appointments, initiate and oversee repair orders, generate invoices, and ensure their closure.
3. Organize and maintain files within our estimating system (CCC).
4. Keep customers informed throughout the repair process.
5. Handle Accounts Payables and Receivables for the department.
6. Answer multiple phone lines in a professional and courteous manner.
7. Welcome customers as they arrive at the collision center.
8. Perform data entry tasks.
9. Assist with various administrative duties as required.
Qualifications:
- Strong verbal and written communication skills.
- Proficiency in MS Office Applications (Word, Excel, Outlook).
- Keen attention to detail.
- Flexible working hours.
- Excellent phone etiquette and customer service capabilities.
- Professional appearance and a friendly, courteous demeanor.
- Previous experience with CCC and CDK, Rome, Mitchell, Audatex is preferred.
- Experience in a dealership environment or Collision Center is essential.
