Position Overview

We are in search of a dedicated and skilled individual to fulfill the role of Office Manager within the Civil, Environmental, and Architectural Engineering department. This position demands a highly organized professional capable of managing various administrative and operational responsibilities.

Key Responsibilities

1. Academic and Student Support (25%)

Student Progress Monitoring: Supervise and coordinate degree progress evaluations, graduation documentation, academic advising data, course permissions, and student feedback through the university's online systems.


Student Enrollment Management: Oversee student lists for enrollment periods, assign mentors to undergraduates, and communicate essential graduation and examination requirements to senior students.



2. Scheduling and Coordination (20%)

Class and Room Management: Organize and update class schedules for future semesters, manage room assignments using university scheduling tools, and collaborate with other schedulers to secure venues for new courses.


Meeting Coordination: Assist in the scheduling and logistical arrangements for departmental meetings and oversee conference room bookings.



3. Administrative and Office Management (25%)

General Office Operations: Handle procurement of office supplies, manage shipping logistics, oversee mail operations, and maintain digital storage systems.


IT and Access Management: Ensure access to essential systems and maintain departmental inventory of equipment.


Financial Oversight: Administer a procurement card for departmental purchases and assist in tracking financial contributions to the department.



4. Event Planning and Management (10%)

Departmental Events: Plan and execute departmental events, manage RSVPs, coordinate catering services, document meeting outcomes, and ensure successful event execution.



5. Communications (10%)

Digital Presence Management: Update and maintain the department's website and manage its social media platforms.


Internal Communication Oversight: Supervise the management of the main office email communications.



6. Additional Duties (10%)

Supervise student assistants and support various departmental activities as assigned.



Position Requirements

This role requires on-site presence.

Required Qualifications
  • High School Diploma or GED equivalency with four years of relevant office experience, or four years of post-secondary education.
  • Proficiency in a PC/Windows environment, including MS Word, PowerPoint, and Excel.
  • Strong written communication skills and meticulous attention to detail.

Preferred Qualifications
  • Experience in event planning and office administration.
  • Ability to work independently and manage time effectively.

Salary Range

$42,000 - $55,000; commensurate with experience.


Work Schedule

Monday to Friday, 8 AM to 5 PM.


Work Location

On-Site.
