Executive Assistant to the Chief Operating Officer

We are seeking a highly organized and detail-oriented administrative professional to serve as an Executive Assistant to our Chief Operating Officer in Bergen County, NJ.

Key Responsibilities:

  • Coordinate the Chief Operating Officer's calendar, schedule, and communicate with their direct reports in several time zones.
  • Manage the executive's email in Outlook by organizing, drafting responses, and reading threads for action items.
  • Attend meetings and take meeting minutes for the executive.
  • Handle project management tasks by creating and maintaining internal workflows, following up with internal and/or external parties, and using software applications to do so.
  • Coordinate occasional travel arrangements for international/domestic trips, including flights, lodging, and expense reports.
  • Welcome guests into the office and field calls for the executive.

Requirements:

  • Minimum of three years of administrative and executive support experience.
  • Bachelor's degree is preferred.
  • Proficient in Microsoft Office: Word, Excel, Outlook, and PowerPoint.
  • Bilingual with English and Spanish is preferred.
  • Experienced with project management and project management software, such as ClickUp.
  • Strong organizational and time management skills.
  • Superb communication and written communication skills.
  • Ability to exercise great judgment and prioritize workflows.
  • Takes initiative and proactive.
  • Solution-driven problem-solving abilities.
