Position Overview: Our client, a renowned beauty brand, is seeking an Executive Assistant to support the Global Chief Creative Officer. This role is based in a hybrid work environment and is initially temporary, with the potential for permanent placement based on performance and business requirements.

Key Responsibilities:

  • Oversee scheduling and calendar management for multiple executives, including arranging meetings and appointments.
  • Assist in the planning and execution of both in-office and off-site events and meetings.
  • Collaborate with team members on cross-departmental initiatives and gatherings.
  • Define tasks, delegate responsibilities, and strategize to meet project milestones and deadlines.
  • Handle incoming requests, phone communications, emails, and other forms of correspondence.
  • Provide comprehensive administrative support to executives and teams, including ordering supplies and processing expense reports.
  • Work closely with the travel manager to coordinate travel logistics, including itineraries and agendas for executives.
  • Engage with the Finance department to establish new vendor accounts, track invoices, and manage payment processes as necessary.
  • Maintain effective communication and foster strong working relationships with various departments and administrative personnel.
  • Execute additional tasks and responsibilities as assigned.

Qualifications:

  • Minimum of 2 years of experience as an Executive Assistant in a corporate setting, ideally within high-growth sectors such as Beauty, Consumer Products, Luxury, or Technology.
  • A Bachelor's Degree is required; a Master's Degree is advantageous.
  • Demonstrated proactive approach with the ability to manage multiple tasks and prioritize effectively.
  • Exceptional organizational capabilities and meticulous attention to detail.
  • Strong verbal and written communication skills.
  • Proficient in Microsoft Office Suite and adept at managing Outlook calendars, Teams, and Zoom meetings.
  • Exhibit professionalism and adaptability to meet varying demands.

Compensation: Salary range is $75,000 - $85,000 annually.
