Position Overview:
We are looking for a meticulous and systematic HR Operations Specialist to enhance our Human Resources department. This role is pivotal in managing various administrative responsibilities while overseeing the onboarding process, handling I-9 documentation, and ensuring adherence to compliance protocols.

Core Responsibilities:


Administrative Duties:
- Execute general administrative functions, such as responding to inquiries, managing schedules, and organizing files.
- Provide assistance with HR-related questions and support the HR team as required.
- Maintain and update employee records and databases to ensure accuracy and compliance.

Onboarding and Compliance Management:
- Facilitate the onboarding journey for new employees, ensuring a seamless integration into the organization.

- Prepare and distribute necessary onboarding materials and documentation.
- Verify and process I-9 documentation, ensuring compliance with federal regulations.

New Hire Coordination:
- Develop and uphold new hire checklists to guarantee all onboarding steps are fulfilled.
- Conduct background investigations and verify references as part of the recruitment process.
- Ensure all new hires are thoroughly vetted through appropriate channels.

Travel Coordination:
- Organize travel arrangements, including booking flights, accommodations, and transportation for employees as necessary.
- Coordinate meal arrangements and other logistics for employees traveling for business purposes.
- Manage travel expense reports and ensure adherence to company travel policies.

Communication and Liaison:
- Act as a primary contact for new hires, providing essential information and addressing inquiries related to onboarding and HR processes. - Collaborate with other departments to ensure new hires have the necessary resources and access to systems.
- Maintain effective communication with employees and management regarding HR-related matters.

Qualifications:
- A Bachelor's degree in Human Resources, Business Administration, or a related field is preferred.
- A minimum of 2 years of experience in an HR support capacity.
- Strong knowledge of HR processes and compliance requirements.
- Excellent written and verbal communication abilities.
- Exceptional organizational skills and attention to detail.
- Ability to manage multiple responsibilities and prioritize effectively in a dynamic environment.
- Proficiency in Microsoft Office Suite and HR information systems (HRIS).
- High level of professionalism and the capacity to handle confidential information with discretion.

Physical Requirements:
- Office environment with standard business hours necessary to satisfactorily perform job functions.
- Must be able to remain in a stationary position up to 50% of the time.

- This position requires occasional movement within the office to access files, meeting rooms, and office equipment.

- Constantly operates a computer and other office machinery.

- May occasionally need to ascend/descend stairs to access different floors.
- Occasionally moves supplies weighing up to 10 pounds for various needs.
