Job Overview:
The HR Assistant is integral to the Human Resources team, providing vital support in various administrative functions and HR operations. This role involves managing HR documentation, facilitating HR processes, and offering essential assistance to HR personnel, employees, and management. The HR Assistant significantly contributes to the seamless functioning of HR within the organization.
Key Responsibilities: Duties include, but are not limited to:
- HR Documentation Management:
- Maintain and update employee files, ensuring precision and adherence to regulations.
- Assist in organizing and archiving HR records, including employee documentation.
- Recruitment Assistance:
- Utilize HRIS to oversee job requisitions, descriptions, and postings.
- Communicate with management and candidates regarding hiring decisions and pre-employment processes.
- Coordinate interview schedules, prepare interview materials, and assist with reference checks.
- Draft employment offers and facilitate pre-employment drug screening.
- Benefits Management:
- Support employees with inquiries related to benefits and necessary forms.
- Assist in coordinating benefit enrollments during open enrollment periods.
- Onboarding and Orientation:
- Utilize HRIS workflows to prepare and conduct onboarding for new hires.
- Ensure effective communication and processing between IT, managers, and trainers for new hire orientations.
- Employee Records and Reporting:
- Generate HR reports as required, including headcount and turnover metrics.
- Compile data for compliance audits and reporting.
- HR Communication:
- Assist in creating and disseminating HR-related communications, such as policies and updates.
- Maintain HR bulletin boards and digital information platforms.
- Employee Support:
- Respond to employee inquiries regarding HR policies, procedures, and benefits.
- Escalate complex issues to HR staff as necessary.
- Compliance Support:
- Assist in ensuring HR practices align with applicable labor laws and regulations.
- Support record-keeping related to compliance requirements.
- Training Coordination:
- Organize training sessions and workshops for staff.
- Assist in preparing and distributing training materials.
- General Administrative Duties:
- Provide administrative support to the HR department, including scheduling meetings and managing calendars.
- Order and maintain office supplies for the HR team.

Qualifications:
Required Qualifications:
- High School Diploma, G.E.D., or equivalent.
- 1 year of administrative experience, preferably in an HR capacity.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint).
- Familiarity with HRIS software is advantageous.
- Ability to manage confidential information with professionalism.
- Strong interpersonal skills and ability to work collaboratively in a team environment.
- Associate's degree in Human Resources or a related field.
- 2 years of HR administrative experience or in a related field.
