Overview:

The HR Assistant is integral to the Human Resources team, providing vital support in various administrative and HR functions. This role is essential for maintaining accurate HR records, facilitating HR processes, and delivering necessary assistance to HR personnel, employees, and management. The HR Assistant contributes significantly to the seamless operation of HR within the organization.

Key Responsibilities: Duties include, but are not limited to:
  • Management of HR Records:
    • Ensure the accuracy and compliance of employee records.
    • Assist in the organization and archiving of HR documentation, including personnel files.
  • Support in Recruitment:
    • Utilize HRIS for managing job requisitions, descriptions, and postings.
    • Communicate with management and candidates regarding hiring decisions and pre-employment processes.
    • Coordinate interview schedules, prepare interview materials, and assist with reference and background checks.
    • Prepare job offers and oversee pre-employment drug screening.
  • Administration of Benefits:
    • Assist employees with inquiries related to benefits and required forms.
    • Help coordinate benefit enrollments during open enrollment periods.
  • Onboarding and Orientation:
    • Utilize HRIS workflows to facilitate new hire onboarding.
    • Ensure effective communication and processing between IT, managers, and trainers for new hire orientations and necessary training.
  • Employee Records and Reporting:
    • Generate necessary HR reports, including headcount and turnover analysis.
    • Compile data for compliance reporting and audits.
  • HR Communication:
    • Assist in creating and disseminating HR-related communications, such as policies and announcements.
    • Maintain HR bulletin boards and digital information platforms.
  • Responding to Employee Inquiries:
    • Address employee questions regarding HR policies, procedures, and benefits.
    • Escalate complex issues to HR staff as needed.
  • Compliance Support:
    • Assist in ensuring HR practices adhere to relevant labor laws and regulations.
    • Support record-keeping related to compliance requirements.
  • Training and Development Coordination:
    • Organize training sessions and workshops for staff.
    • Assist in preparing and distributing training materials.
  • General Administrative Support:
    • Provide administrative assistance to the HR department, including scheduling meetings and managing calendars.
    • Order and maintain office supplies for HR operations.

Qualifications:

Required Qualifications:
  • High School Diploma, G.E.D., or equivalent.
  • 1 year of administrative office experience, preferably in an HR context.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint).
  • Familiarity with HRIS software is advantageous.
  • Ability to manage confidential information with professionalism.
  • Strong interpersonal skills and effective teamwork capabilities.
Preferred Qualifications:
  • Associate's degree in Human Resources or a related field is preferred.
  • 2 years of HR administrative experience or in a related field.
