Position: Full Time, Exempt, Salaried, Non-Union

Reports To: Manager, Event Planning

Objective:

The Event Coordination and Sales Expert plays a vital role in advancing the mission of the Milwaukee Art Museum by orchestrating events from initial planning to final execution for external clients. This position serves as the primary contact between clients and various stakeholders involved in the event planning process, including culinary teams, vendors, and museum departments, ensuring exceptional customer service and prompt follow-up.

Key Responsibilities:

  • Collaborates with external clients, approved vendors, museum staff, and service teams to execute events that align with the institution's objectives.
  • Handles all inquiries related to weddings and social rentals, conducts venue tours, and secures bookings to achieve revenue targets.
  • Specializes in coordinating life celebrations for clients, including wedding ceremonies and receptions.
  • Ensures that all processes are carried out efficiently and accurately.
  • Utilizes event management software to create and finalize precise event orders and floor plans.
  • Works closely with the catering team to develop menus and assist with tastings.
  • Updates and disseminates event orders and maintains museum calendars promptly to provide accurate information across departments.
  • Oversees all facets of event execution, including leading pre-shift meetings with event staff to ensure client expectations are met and addressing any client issues that may arise.
  • Generates accurate billing data for record-keeping, invoicing, and payments, ensuring timely delivery of information to the Finance Department.
  • Provides support to the venue in the absence of the Event Planning Manager.
  • Must be available to work irregular hours and extended shifts, including nights, early mornings, weekends, and holidays.
  • Ensures adherence to museum policies and procedures.

Qualifications:

Education/Experience:

  • High School Diploma or equivalent required; Bachelor's Degree in Hospitality, Business Administration, Hotel and Restaurant Management, or Marketing preferred.
  • 1-3 years of experience in event planning, particularly in upscale events such as weddings, corporate functions, or social gatherings.
  • Familiarity with event planning and floor plan software is strongly preferred.
  • Sales experience in the hospitality sector is advantageous.

  • Exceptional written and verbal communication skills, with the ability to engage effectively with groups, guests, and museum staff.
  • Strong leadership abilities to foster a supportive and motivating work environment.

  • Attention to detail and excellent organizational skills.
  • Capacity to prioritize tasks, meet deadlines, and manage multiple assignments simultaneously.
  • Problem-solving skills and the ability to think quickly on your feet.
  • Proficient in standard office equipment and computer applications, including Microsoft Word and Excel.

Physical Requirements:

  • Ability to stand for extended periods.
  • Occasionally required to lift, carry, push, pull, and/or move objects weighing up to twenty-five (25) pounds and up to fifty (50) pounds with assistance.
  • Vision abilities required include close and distant vision and the ability to adjust focus.
  • Regularly required to talk and hear; stand and walk; climb or balance; stoop, kneel, crouch, and crawl. Frequently required to sit, use tools or controls, and reach with hands and arms.
