Administrative Office Specialist

The Office Coordinator at Greenwood Associates, Inc. plays a crucial role in ensuring the smooth operation of the office environment. Reporting directly to the Human Resources Director, this position encompasses a variety of administrative tasks and responsibilities aimed at enhancing office efficiency.
Key Responsibilities:
- Manage daily office activities to ensure compliance with organizational policies and procedures.
- Take charge of the company’s website management, utilizing WordPress to ensure it aligns with our marketing and communication objectives.
- Support clerical staff with complex tasks that require advanced skills and sensitivity.
- Oversee the logistics of mail and package deliveries, including postage management and shipment coordination.
- Assist in planning and executing company events and activities.
- Provide guidance on the procurement of office supplies and equipment.
- Welcome clients and visitors, determining their needs and directing them appropriately.
- Maintain the cleanliness and organization of shared spaces such as break rooms and conference areas.
- Facilitate onboarding and offboarding processes for new hires, including workspace setup and equipment return.
- Keep track of office supply inventory, including kitchen essentials and marketing materials.
- Perform additional duties as assigned to support overall office operations.
Qualifications:
- High school diploma or equivalent is required; an Associate's degree in office administration or a related field is preferred.
- A minimum of three years of experience in administrative and clerical roles is required.
- Strong verbal and written communication skills, with the ability to collaborate effectively.
- Exceptional organizational skills and attention to detail.
- Basic understanding of web programming languages, particularly CSS and HTML.
- Proficiency in using the WordPress platform and its plugins.
- Competence in Microsoft Office applications.
- Excellent time management abilities with a proven track record of meeting deadlines.
- Basic knowledge of standard office equipment operation.
Physical Requirements:
This role involves prolonged periods of sitting and using a computer, as well as regular standing and walking. It requires good vision, hearing, and fine motor skills, along with occasional lifting and other physical activities.
