ROLE SUMMARY:

The Senior Gift Processing Specialist plays a crucial role in managing and recording the majority of contributions received by the organization into the fundraising database. This position also assists the Accounting Department with the integration of gifts into the financial ledger. The role supports the Advancement department with post-entry tasks such as acknowledgment and receipting, and serves as a knowledgeable resource for both Advancement and Finance teams regarding gift-related policies and procedures. Strong attention to detail, the ability to manage multiple projects independently, and adaptability in task management are essential qualities for success in this role.


KEY RESPONSIBILITIES:

  • Oversee all facets of transaction processing, including the intake of contributions and other income, entry into the fundraising database, and communication with Finance staff to ensure accurate and timely recording of revenue against the appropriate donor records and financial accounts. Manage complex gifts, credits, exceptions, and adjustments, while coordinating with the Gift Processing Assistant to ensure accuracy.
  • Supervise the integration of gift and data information received from third-party systems within the CRM. Maintain data integrity, process or rectify gifts manually, correct discrepancies, and escalate issues to management as necessary.
  • Conduct research and analysis of documentation and historical records to facilitate the processing of complex gifts, resolving any challenges to proper entry. Collaborate with Finance and Advancement staff to address questions and issues, ensuring efficient transaction entry during peak periods.
  • Communicate the specifics of incoming gifts to Finance and Advancement teams to ensure precise processing and stewardship. Responsibilities include logging, scanning, and archiving gift documentation, as well as evaluating and requesting additional support documentation from Gift Officers when needed.
  • Act as a knowledgeable advisor to both Advancement and Finance teams on internal and external gift-related policies and procedures, ensuring consistent handling of recurring matters. Participate in interdepartmental meetings to provide insights and share knowledge regarding processing. Research internal records to supply historical gift information.
  • Generate and review acknowledgment letters to ensure effective stewardship and timely communication with donors regarding the tax implications of their contributions. Assist Donor Relations in reviewing acknowledgment reports for updates or discrepancies.
  • Ensure a high level of security when handling sensitive financial information and maintain compliance with data confidentiality standards.
  • Collaborate with Advancement to create and maintain comprehensive constituent records, ensuring accurate representation of donors and members within the fundraising database.
  • Under the guidance of Accounting staff, establish and maintain Fund records to accurately track and report on the purpose, donor type, and departmental responsibilities related to fundraising.
  • Process virtual passes for community access programs, facilitating corporate member engagement in providing complimentary visits to underserved educational institutions and community organizations.
  • Perform additional duties as assigned.


WORK SCHEDULE:

This position is hybrid and full-time, with a Monday to Friday schedule.

MINIMUM QUALIFICATIONS:

  • Bachelor's degree in Science or Arts
  • A minimum of 4 years of experience in gift processing, CRM database management, receipting, and related activities.
  • Demonstrated attention to detail and the ability to handle sensitive information with confidentiality.
  • Capability to thrive in a fast-paced, deadline-driven environment with multiple responsibilities.
  • Proven ability to work both independently and collaboratively, demonstrating strong organizational skills and follow-through.
  • Excellent written and verbal communication skills, along with strong interpersonal abilities.
  • Mathematical proficiency for reconciling transactions and managing financial data.
  • Experience with fundraising databases and charitable gift processing.
  • Proficiency in Excel and familiarity with Salesforce or other CRM systems.


COMPENSATION:

Non-Exempt (Hourly). $ /hour
