Position Overview:

The Lead Administrative Coordinator plays a crucial role in providing comprehensive administrative support to the Division Chief and Administrator within the Orthopaedics department. This position demands exceptional organizational skills, the ability to manage multiple priorities, and a high level of discretion when handling sensitive information.

Work Schedule:

Hybrid model:
The selected candidate will initially work onsite for a probationary period before transitioning to a hybrid schedule, which includes 2-3 days in the office each week.

Daily Responsibilities:
  • Execute administrative tasks with minimal supervision, demonstrating a high level of proficiency.
  • Provide direct support to the Division Chief and Administrator, managing complex and varied projects.
  • Utilize problem-solving skills to determine the best course of action with limited guidance.
  • Lead and prioritize workflow, troubleshoot issues, assist in training and orientation, and offer backup support for supervisory roles.
  • Oversee project coordination, take initiative, and ensure follow-through on tasks using available resources.
  • Monitor expense budgets, perform basic bookkeeping, and generate financial reports.
  • Ensure compliance with HIPAA regulations regarding patient privacy and confidentiality.

Interpersonal Skills:
  • Possess a thorough understanding of operational standards and procedures.
  • Exhibit proficiency in communication skills, both verbal and written, while handling sensitive situations with professionalism.

Organizational Skills:
  • Demonstrate strong organizational and coordination abilities, effectively managing multiple tasks and adhering to established protocols.

Technical Skills:
  • Exhibit advanced computer skills and proficiency in relevant applications.
  • Ability to analyze situations and determine appropriate actions within established guidelines.
  • Possess a solid understanding of medical terminology and financial information.

Qualifications:
  • A high school diploma or GED is required; post-secondary education is preferred.
  • A minimum of three years of experience in a medical office or administrative support role is required.
