JOB DESCRIPTION


The Project Coordinator will oversee the management of established programs that cater to faculty, staff, or students.

This role represents the program to the public and the university community, ensuring that program objectives and service delivery standards are met effectively.

Responsibilities may encompass, but are not limited to, forecasting financials, creating program budgets, reallocating resources as necessary, negotiating with external vendors, signing significant contracts on behalf of the program, developing and implementing departmental systems, practices, policies, and procedures, and fostering relationships with both internal and external stakeholders.

The Coordinator will maintain and utilize files, records, materials, and digital content related to the program. Candidates should possess over 3 years of experience in program management within a large, complex educational or non-profit environment.


Essential Responsibilities:

The Coordinator serves as the primary contact and liaison for the department, addressing departmental issues and resolving challenges for students, faculty, staff, and postdoctoral researchers across multiple labs and programs.

This position requires proactive anticipation of the department's future needs (financial, staffing, and operational) to ensure seamless operations.

The Coordinator also contributes to strategic planning initiatives for the department and its programs.
The Coordinator is responsible for managing departmental budgets and the budgets of multiple programs/divisions.

This includes:

Developing budgets, projecting financial outcomes, forecasting surpluses and deficits, approving transactions, reallocating resources among budget lines, reconciling budgets, and monitoring expenditures throughout the fiscal year.

The role also entails managing all invoice payments for the department and its respective programs/divisions.

The Coordinator is responsible for ensuring all incoming funds are accurately accounted for and deposited into the appropriate accounts.

The Coordinator acts as the human resources liaison for departmental personnel, collaborating with HR as necessary.

Works with relevant staff on policy interpretation; develops policies and procedures to enhance departmental operations; negotiates with vendors and sponsors regarding agreement terms; and drafts policy memos as required.

Manages all appointments and reappointments within the department, overseeing promotions and the entire search process, including position requests, advertisements, and interviews. This role also includes managing onboarding and offboarding processes for departmental personnel.
Leads and prepares all necessary materials for visa processing.
The Coordinator manages pre-award grant submissions for Principal Investigators, ensuring timely completion of all required documents.

Collaborates with faculty on managing grant and gift awards, monitors spending throughout the year, and works with the grants team on post-award setup and management.

The Coordinator partners with other departments to fulfill responsibilities and ensures compliance with relevant laws and policies.

Additional responsibilities include calendar management, travel arrangements, planning departmental events, and managing various faculty projects as needed.
