ROLE SUMMARY:
The Senior Gift Processing Specialist plays a crucial role in managing and inputting the majority of contributions received by the Museum into the fundraising database. This position also supports the Accounting Department with the integration of gifts into the general ledger. Additionally, the role assists the Advancement department with post-entry tasks, including acknowledgment and receipting. The Specialist serves as a knowledgeable resource for both Advancement and Finance teams regarding gift-related policies and procedures, while also providing guidance to the Gift Processing Assistant in their daily responsibilities. Strong attention to detail, the ability to manage multiple projects independently, and the capacity to switch between tasks efficiently are essential for success in this role.
KEY RESPONSIBILITIES:
- Oversee all facets of transaction processing, including the intake of contributions and other income, entry into the fundraising database, and communication with Finance staff to ensure timely and accurate recording of revenue to the correct donor record and financial account. Manage complex gifts, exceptions, and adjustments, while coordinating with the Gift Processing Assistant to ensure accuracy.
- Supervise gift and data information received from third-party system integrations in the CRM. Ensure data integrity by monitoring and maintaining cleanliness, manually processing or correcting gifts, and addressing issues with the Manager.
- Conduct research and analyze documentation to process intricate gifts, resolving any barriers to proper entry. Collaborate with Finance and Advancement staff to address questions and issues, coordinating transaction entry during peak times to maintain efficiency.
- Communicate the details of gifts to Finance and Advancement staff upon receipt, ensuring accurate processing and stewardship. Responsibilities include logging, scanning, and archiving gift documentation, as well as evaluating and requesting additional information from Gift Officers when necessary.
- Act as a resource for Advancement and Finance staff on internal and external gift-related policies and procedures, ensuring consistent handling of recurring matters. Participate in interdepartmental meetings to provide insights and research historical gift information.
- Generate and review gift acknowledgment letters to ensure accurate communication with donors regarding the tax deductibility of their contributions. Assist in reviewing acknowledgment reports for any updates or issues.
- Maintain high security standards when handling sensitive financial information to ensure compliance with confidentiality and PCI standards.
- Collaborate with Advancement to create and maintain comprehensive constituent records in the fundraising database.
- Under the guidance of Accounting staff, create and maintain Fund records for accurate tracking and reporting of donor types and fundraising responsibilities.
- Process virtual access passes for community engagement initiatives.
- Perform additional duties as assigned.
WORK SCHEDULE:
This position operates in a hybrid model, full-time, Monday through Friday.
REPORTING STRUCTURE:
Reports to the Manager of Fundraising Data Services.
MINIMUM QUALIFICATIONS:
- Bachelor's degree in Science or Arts.
- A minimum of four years of experience in gift processing, CRM database management, and related activities.
- Demonstrated attention to detail and the ability to handle sensitive information securely.
- Experience working in a fast-paced environment with multiple responsibilities.
- Proven ability to work independently and collaboratively, with strong organizational skills.
- Excellent written and verbal communication skills.
- Mathematical skills for transaction reconciliation.
- Experience with fundraising databases and charitable gift processing.
- Proficiency in Excel and familiarity with Salesforce or other CRM systems.
COMPENSATION AND BENEFITS:
