Vendor Management Coordinator

Summary:In this role, you will provide essential administrative and clerical support to the Corporate Procurement Team, playing a vital part in the operations of the Procurement Department. You will assist the Sourcing Team in ensuring that vendors are accurately set up in the system and directed to the appropriate personnel or departments.
Work Schedule:
- Monday to Friday
- 8:30 AM to 5:30 PM
- $25 per hour
- Act as a liaison through email and phone communications between external vendors and internal corporate divisions.
- Coordinate with various departments during the re-onboarding process for existing vendors.
- Assist accounts payable with vendor management issues to ensure timely payments.
- Maintain and monitor updated vendor documentation in accordance with company policies.
- Support vendors and the Ariba team with any technical inquiries during the onboarding process.
- Keep all necessary documentation for vendor verification for auditing purposes.
- Update the Vendor Management spreadsheet to track tasks effectively.
- Exhibit excellent customer service and maintain confidentiality in all job functions.
- Perform additional duties as assigned, adapting to the evolving needs of the Administrative Department.
- Provide backup support for the Purchasing Clerk and other Administrative Team members as required.
- Experience in coordinating and maintaining purchasing systems and procedures.
- Ability to interpret and make decisions in line with relevant laws, regulations, and policies.
- Strong collaborative skills to work effectively with executive management and all levels of staff.
- Excellent customer service abilities.
- Clear and concise communication skills, both verbal and written.
- Outstanding organizational skills and the ability to remain composed under high email traffic.
- Proficiency in Teams, Microsoft Excel, Word, and Outlook.
- High level of accuracy and attention to detail in a demanding workload environment.
- Exceptional communication skills to represent the company positively.
- Ability to manage email follow-ups and resolve vendor issues promptly.
- Commitment to maintaining confidentiality.
- High School Diploma, GED, or equivalent required; an associate degree is preferred, along with 2 years of experience in a similar role.
