Bilingual Procurement Coordinator

Summary:In this role, you will provide essential administrative and clerical assistance to the Corporate Procurement Team, playing a vital part in the Procurement Department's operations. You will also support the Sourcing Team to ensure vendors are accurately registered in the system and appropriately directed to the relevant employees or departments.
Work Schedule:
- Monday to Friday
- 8:30 AM to 5:30 PM
- $25 per hour
- Act as a liaison through email and phone communications between external vendors and internal corporate divisions.
- Facilitate the re-onboarding process for existing vendors in collaboration with various departments.
- Assist accounts payable with vendor management inquiries to guarantee timely payments.
- Keep vendor documentation current in accordance with company policies.
- Provide support to vendors and the Ariba team regarding any technical inquiries during the onboarding process.
- Maintain all necessary documentation for vendor verification during audits.
- Update the Vendor Management spreadsheet to track tasks effectively.
- Exhibit strong customer service and confidentiality in all job functions.
- Perform additional duties as assigned, adapting to the evolving needs of the Administrative Department.
- Offer backup support for the Purchasing Clerk and other Administrative Team members as required.
- Experience in coordinating and maintaining purchasing systems and procedures.
- Ability to interpret and make informed decisions based on laws, regulations, and policies.
- Proven ability to collaborate effectively with executive and management staff as well as all employee levels.
- Strong customer service skills are essential.
- Excellent verbal and written communication skills are required.
- Outstanding organizational abilities and composure are crucial due to high email traffic.
- Proficiency in Teams, Microsoft Excel, Word, and Outlook is necessary.
- High attention to detail and accuracy in a demanding workload environment is essential.
- Exceptional communication skills to represent the company positively.
- Ability to manage email follow-ups and resolve vendor issues efficiently.
- Maintain a high level of confidentiality.
- A High School Diploma, GED, or equivalent is required; an associate degree is preferred along with two years of relevant experience.
