We are currently looking for a full-time Administrative Office Coordinator to become part of our dedicated team of leaders and caregivers. We seek individuals who aspire to positively impact the lives of others and are eager to embrace challenges and rewards.
Key Responsibilities:
- Manages the "Resident Trust" by processing deposits, handling banking transactions, assisting residents with withdrawals, and generating reports for residents and their families as required.
- Handles incoming calls, providing information to callers or directing them to the appropriate personnel.
- Welcomes visitors, determines the purpose of their visit, and escorts them to the relevant staff member.
- Collects and analyzes data and invoices to prepare payment requests and document business transactions.
- Tracks and prepares monthly accounts payable aging reports, monitors deadlines, and communicates cash requirements to the Business Office Coordinator or administrator as necessary.
- Rectifies discrepancies and investigates issues related to accounts payable records, liaising with vendors to resolve disputes and informing the Business Office Coordinator or Administrator of matters requiring further attention.
- Ensures that necessary approvals are secured for check preparation and that only authorized checks are issued and dispatched.
- Organizes and categorizes documents, including invoices and checks.
- Develops the monthly CNA Schedule.

Ideal Candidates Will Have:
- An Associate's degree (A.A.) or equivalent from a two-year college or technical school; or two to four years of relevant experience and/or training; or a combination of education and experience (Accounting preferred).
- A collaborative spirit, exemplifying teamwork and a team-oriented mindset.
- Patience, tact, a positive attitude, and enthusiasm, along with the ability to manage challenging situations with residents.
- Proficiency in mathematical concepts such as probability and statistical inference, with the ability to apply these concepts in practical scenarios.
