Job Title: Receptionist Coordinator


As a Receptionist Coordinator at Aston Carter, you will be responsible for providing exceptional customer service and administrative support to our clients. Your primary duties will include:

  • Answering telephones, directing calls, and taking messages.
  • Greeting and welcoming visitors, maintaining the organization's visitor log.
  • Opening, sorting, and routing mail; preparing outgoing mail; stamping and distributing incoming invoices; and distributing incoming faxes and other interoffice paperwork.
  • Completing and distributing shipping documents and UPS labels; generating appropriate reports.
  • Assisting with basic administrative tasks such as data entry, filing, and office supply management.
  • Providing information to clients and employees in response to inquiries.
  • Operating and maintaining office machines, multi-line phone bank, and paging system.
  • Ordering office supplies and making service order calls for office equipment, weekly or as needed.
  • Making travel arrangements for personnel, as needed.
  • Utilizing UPS shipping software and MS Office software; maintaining and updating MS Outlook database, MS CRM, and MS NAV.
  • Creating and distributing office memos and announcements as requested by Management.
  • Maintaining the organization's calendars.
  • Attending and contributing to all required meetings.
  • Supporting the team with other clerical duties as needed.


Requirements:

  • High school diploma or equivalent.
  • Previous experience as a receptionist or in a similar administrative role is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to multi-task and prioritize in a fast-paced environment.
  • Bilingual – Spanish a plus.
