Position Title: Administrative Operations Specialist
Compensation: $23 - $25 per hour (Dependent on Experience)
Work Schedule: Monday to Friday; 8:30 AM - 5:00 PM
Role Summary:
The Administrative Operations Specialist plays a vital role in delivering managerial support, ensuring efficient operations and organization within the office. This position demands a highly organized individual capable of managing diverse tasks, maintaining meticulous attention to detail, and assisting with various administrative responsibilities.
Key Duties:
- Respond to and manage incoming calls, directing them to the appropriate personnel.
- Oversee office supplies, including ordering, verification, and distribution.
- Provide technical support and coordinate with IT service providers.
- Maintain and troubleshoot office equipment.
- Organize meetings, training sessions, and events, including catering arrangements.
- Keep orderly and confidential administrative records.
- Process received funds in accordance with established protocols.
- Act as a liaison with property managers, vendors, and partners.
- Ensure office areas, including copy rooms and kitchens, are clean and well-stocked.
- Assist with office safety drills and maintain emergency supplies.
Required Qualifications:
- 5+ years of experience in office management, preferably within a non-profit environment.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
- Strong organizational, time management, and communication abilities.
- Capability to manage multiple projects and work effectively under pressure.
- Familiarity with electronic file management, scanning, and PDF editing.
- Valid California driver's license, reliable transportation, and proof of insurance.
- Must successfully pass a background check.
Physical Requirements:
- Ability to sit, stand, walk, and lift up to 20 lbs.
- Occasional movement of furniture (e.g., chairs, folding tables).

- Reliable transportation for offsite tasks.
