Job Overview:

We are in search of a motivated and detail-oriented Office Operations Specialist to manage the daily administrative functions of our office.

Roles and Responsibilities:

  1. Oversee daily office operations.
  2. Maintain a clean and welcoming reception area.
  3. Professionally handle all incoming phone calls and direct them as needed.
  4. Manage procurement of office supplies and equipment.
  5. Coordinate logistics for external visitors and inter-office employees.
  6. Ensure availability of COVID-19 related supplies and equipment.
  7. Assist various departments (engineering, facilities, HR) with onsite requests.
  8. Help organize office events, meetings, travel arrangements, and appointments.
  9. Collaborate with other departments to ensure adherence to established policies.
  10. Support executive staff with special administrative projects.
  11. Manage inventory of front office and kitchen supplies.
  12. Receive, sort, and distribute daily mail and deliveries.
  13. Provide accurate information in-person and through phone/email communications.
  14. Scan, file, and maintain company documents (e.g., certifications, notices).
  15. Assist with general data entry, employee expense reports, and accounts payable.

Required Qualifications:

  • Demonstrates initiative and the ability to work independently with minimal supervision.
  • Exhibits excellent written and verbal communication skills.
  • Proficient in Microsoft 365 applications (Word, Excel, Outlook, etc.).
  • Possesses outstanding customer service abilities.
  • Proactive, resourceful, and detail-oriented.
  • Strong organizational and time management capabilities.
  • Adaptable and comfortable in a dynamic work environment.
  • Ability to collaborate effectively in a fast-paced team setting.
  • Must be able to lift and move items weighing up to 15 lbs.
