Position Overview

The Research Collections & Preservation Consortium (RECAP) is in search of a dynamic and seasoned Supervisor to lead a team, ensure efficient workflows, facilitate inter-partner borrowing through the Shared Collection Service, and assist in managing a substantial library storage facility.

ReCAP is a collaborative effort among Princeton University, Columbia University, Harvard University, and The New York Public Library. The ReCAP facility features eight shelving modules, a cold storage film vault, and a 25,000 square foot processing center. Located on the Forrestal Campus of Princeton University, this facility houses over 17 million items, making it the largest preservation repository in North America under one roof. ReCAP processes over 200,000 physical and electronic library requests annually for its partners.

Key Responsibilities

Reporting to the ReCAP Operations Manager, the Supervisor will provide direct oversight to a team of sixteen or more processing assistants. Their responsibilities include:

  • Accessioning new materials into the facility.
  • Fulfilling electronic and item delivery requests for ReCAP materials.
  • Processing returns and providing additional services.

The Supervisor's duties encompass:

  • Assigning daily tasks and adjusting workflows as necessary.
  • Keeping staff motivated and cross-trained.
  • Maintaining operational statistics and monitoring the accuracy of accession work.
  • Coordinating the shipping and receipt of materials.
  • Directing the circulation of materials and managing alternative delivery options.

Additionally, the Supervisor will:

  • Report issues related to database and request systems.
  • Monitor the usage and maintenance of automated lifts and production equipment.
  • Assist the ReCAP Operations Manager and Executive Director with overall facility oversight.
Qualifications

Essential Qualifications:

  • A minimum of 7 years of experience, including at least 3 years in a supervisory role.
  • Demonstrated ability to manage complex tasks and adapt to changing deadlines.
  • Exceptional interpersonal and organizational skills, along with a strong service orientation.
  • Proficient in computer applications, including Office and databases.
  • Experience in making personnel decisions within established guidelines.
  • Background in scheduling, procedure writing, and staff training.
  • Certification in the proper use of an automated lift is required.
  • Ability to lift and manage loads up to 40 lbs.

Preferred Qualifications:

  • A Bachelor's degree coupled with relevant work experience.
  • Supervisory experience in a document warehouse or large library circulation/shelving department is highly preferred.
  • Advanced knowledge of computer applications, including inventory control and database management.
  • Experience working collaboratively with unions and management.
  • Comfortable interacting with individuals from diverse backgrounds and educational levels.
