Position Overview

The Research Collections & Preservation Consortium (RECAP) is in search of a dynamic and seasoned Supervisor to lead a team, ensure efficient workflows, facilitate inter-partner borrowing through the Shared Collection Service, and assist in managing a significant library storage facility.

RECAP is a collaborative effort involving prominent institutions. The facility features multiple shelving modules, a specialized cold storage vault, and a substantial processing center. It is recognized as the largest preservation repository in North America, housing over 17 million items.

Key Responsibilities

Reporting to the Operations Manager, the Supervisor will provide direct oversight to a team of processing assistants. Their responsibilities include:

  • Accessioning new materials into the facility.
  • Processing electronic and physical delivery requests.
  • Managing returns and other related services.

The Supervisor will also:

  • Assign daily tasks and adapt workflows as necessary.
  • Keep the team motivated and ensure cross-training.
  • Maintain operational statistics and monitor the accuracy of accessioning tasks.
  • Coordinate the shipping and receipt of materials.
  • Oversee the circulation of materials and manage alternative delivery options.

Additionally, the Supervisor will address issues related to database and request systems, monitor the use of automated equipment, and report any facility-related concerns. This role involves collaboration with the Operations Manager in hiring, training, performance management, and ensuring the effective processing of materials.

Qualifications

Essential Qualifications:

  • At least 7 years of relevant experience, including a minimum of 3 years in a supervisory role.
  • Demonstrated ability to manage complex tasks and adapt to changing deadlines.
  • Strong interpersonal and organizational skills, with a commitment to service excellence.
  • Proficient in computer applications, including Office and database management.
  • Experience in personnel decision-making within established frameworks.
  • Background in scheduling, procedure writing, and staff training.
  • Willingness to obtain certification for automated lift operation.
  • Physical capability to lift and manage loads up to 40 lbs.

Preferred Qualifications:

  • A Bachelor's degree coupled with relevant work experience.
  • Supervisory experience in a document warehouse or large library setting is highly desirable.
  • Advanced knowledge of inventory control and database management software.
  • Ability to collaborate effectively with both union and management representatives.
  • Comfortable engaging with individuals from diverse backgrounds and educational levels.
