Position Summary

The Financial Operations Supervisor is responsible for overseeing the monthly financial closing procedures, which include the preparation of third-party billing, parent billing for childcare services, monthly journal entries, and the reconciliation of general ledger accounts. This role also involves supervising the Staff Accountant and Accounting Clerk, while assisting the CFO with the annual budget preparation, audit schedules, and state financial statements, along with various ad hoc projects.

Key Responsibilities:
  • Manage daily remote deposits and maintain cash flow spreadsheets, ensuring clearing account balances are accurate.
  • Supervise weekly accounts payable check runs as processed by the Staff Accountant.
  • Import payroll data into the general ledger.
  • Prepare monthly third-party contract billing.
  • Oversee the Staff Accountant in preparing monthly childcare contract billing.
  • Ensure accurate invoicing for additional services by the Staff Accountant.
  • Record and prepare monthly closing entries.
  • Document monthly membership income and electronic funds transfer payments from billing summaries.
  • Supervise the monthly reconciliation of bank accounts conducted by the Staff Accountant.
  • Investigate and resolve inquiries related to general ledger transactions.
  • Prepare and analyze monthly financial statements and reports for the CFO, ensuring all transactions are recorded.
  • Distribute monthly financial reports to department heads.
  • Conduct monthly reconciliations of accounts receivable, accounts payable, clearing accounts, and other balance sheet accounts quarterly.
  • Prepare weekly billing for childcare parents and transitional housing programs.
  • Oversee daily posting of childcare and transitional housing payments by the Staff Accountant.
  • Assist with inquiries related to childcare parent accounts and maintain the billing system.
  • Support the CFO with contract amendments as necessary.
  • Assist in the preparation for monthly Finance Committee meetings.
  • Help the CFO with the annual operating budget preparation.
  • Contribute to the annual independent audit by preparing schedules and providing requested documentation promptly.
  • Complete quarterly closings for two related companies and prepare for independent auditor reviews.
  • Review scholarship applications from relevant departments.
  • Cross-train to perform the duties of the Staff Accountant and Accounting Clerk as needed.
  • Provide backup support for front desk operations when required.
  • Perform additional duties as assigned.
Qualifications:
  • Bachelor's Degree in Accounting.
  • 3 to 5 years of relevant experience.
  • Management or supervisory experience is preferred.
  • Ability to manage multiple tasks in a dynamic environment.
  • Strong organizational and interpersonal skills.
  • Experience with accounting software, preferably Accufund.
  • Proficiency in Microsoft Excel.

Ability to operate necessary equipment to perform essential job functions.
