Job Overview

The Legal Aid Bureau is dedicated to providing essential civil legal support to individuals in need. As part of our commitment to serving low-income and marginalized communities, we are seeking an Operations Coordinator (Purchasing & Corporate Insurance) within our Administrative Services Unit. This role is pivotal in managing procurement and insurance functions across our organization, ensuring that all departments operate efficiently.

Key Responsibilities:

Procurement Management

  • Evaluate and process purchase requests in accordance with established guidelines.
  • Generate purchase orders and accurately input invoices into the system.
  • Oversee the invoice approval workflow.
  • Maintain comprehensive logs for all invoicing activities.
  • Solicit and assess bids from suppliers, negotiating favorable terms.
  • Organize and manage the supply inventory while improving procurement practices.
  • Foster positive relationships with vendors and business partners.

Insurance Coordination

  • Collaborate with external insurance Account Managers to ensure ongoing policy coverage.
  • Manage responses to insurance audits and maintain organized insurance documentation.
  • Facilitate insurance arrangements for special initiatives.
  • Request and distribute Certificates of Insurance as needed.

Financial Planning

  • Assist in the formulation of the department's annual financial plan.
  • Identify and investigate any discrepancies in the budget.

Qualifications:

  • A Bachelor's Degree coupled with up to three years of relevant experience.
  • Proficiency in procurement, inventory management, and invoicing processes.
  • Familiarity with corporate insurance practices and budget planning.
  • Meticulous attention to detail with strong communication and interpersonal abilities.
  • Capacity to work autonomously as well as collaboratively within a team.
  • Proficient in Office 365 and Microsoft Office Suite.
  • Physical ability to lift items weighing up to 50 lbs.
  • Experience in the nonprofit sector is advantageous.

Compensation and Benefits:

The salary range for this position is $47,000 to $60,000, complemented by a comprehensive benefits package that includes health, dental, vision, life insurance, a 401(k) plan, paid time off, sick leave, and paid holidays.
