Job Overview

Position Summary: The Mortgage Assistant Specialist will collaborate closely with mortgage professionals to oversee the administrative components of the mortgage workflow. This position entails client interaction, document management, and coordination with financial institutions and other relevant parties. The ideal candidate will possess exceptional organizational abilities, meticulous attention to detail, and a proactive mindset for resolving issues.

Key Responsibilities:

  • Support mortgage professionals in gathering, organizing, and assessing client documentation, such as income verification, credit histories, and property information.
  • Prepare, review, and submit loan applications to financial institutions, ensuring all information is accurate and complete.
  • Engage with clients to collect necessary documents, address inquiries, and provide updates regarding their mortgage application progress.
  • Coordinate with lenders, appraisers, and title agencies to ensure the efficient processing of loan applications.
  • Maintain and update client records in the brokerage's database, ensuring data integrity and confidentiality.
  • Schedule and confirm appointments for mortgage professionals, including client meetings and property evaluations.
  • Draft and distribute communications, such as emails, letters, and loan disclosures, on behalf of the mortgage professionals.
  • Assist in the preparation of mortgage-related documents, including pre-qualification and commitment letters.
  • Perform general administrative duties, such as managing phone calls, emails, and office correspondence.
  • Stay updated on mortgage products, interest rates, and industry regulations to effectively support professionals and clients.

Qualifications:

  • High school diploma or equivalent; additional education in finance, real estate, or a related field is preferred.
  • Prior experience in a mortgage, real estate, or financial services role is advantageous.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Familiarity with mortgage software (e.g., Encompass, Calyx Point) is beneficial.
  • Strong organizational skills and meticulous attention to detail.
  • Excellent communication and interpersonal abilities.
  • Capability to manage multiple tasks and work efficiently in a dynamic environment.
  • Knowledge of mortgage industry practices and regulations is desirable.
