Department Overview

The PACCAR flight department plays a vital role in the company's operational framework and long-term strategic vision. Employment with PACCAR includes a comprehensive suite of industry-leading benefits, including medical, dental, and vision coverage, 401(K) matching contributions, paid vacation and sick leave, and a pension plan. The department operates three aircraft under 14 CFR Part 91, including two Falcon 50EX aircraft stationed in Seattle and one in Denton, TX.

Key Responsibilities

Essential Functions and Duties:

  • Manage aircraft bookings: Add and modify reservations as needed.
  • Oversee the CEO approval process for all travel arrangements.
  • Respond to inquiries regarding aircraft availability, airport logistics, and flight scheduling.
  • Ensure compliance with crew duty and flight time regulations when scheduling trips.
  • Coordinate trip logistics: Notify Fixed Base Operators (FBOs), arrange ground handling, fuel, and catering services.
  • Organize crew accommodations: Book hotels and rental vehicles.
  • Prepare comprehensive Trip Packets for flight crews.
  • Align crew and maintenance schedules effectively.
  • Secure necessary permits and visas for international travel.
  • Provide flight tracking information to relevant personnel and arrange ground transportation.
  • Post-flight: Maintain accurate flight and crew duty records.
Additional Responsibilities
  • Support department accounting functions during staff absences.
  • Facilitate smooth transitions of scheduling duties prior to any leave.
  • Act as the department's security liaison.
  • Manage and process invoices for international fees.
  • Oversee the renewal of aircraft documentation, including registration, insurance, landing permits, and Customs decals.
  • Monitor the main entrance for visitors and deliveries.
  • Conduct security checks when the hangar is the last to close.
  • Participate in industry conferences such as NBAA, PNBAA, and PFM to integrate best practices.
Qualifications and Skills
  • Exceptional interpersonal skills with strong verbal and written communication capabilities.
  • Ability to maintain professionalism while working under pressure and managing multiple tasks.
  • Proficient in PC applications (Excel, Word, Outlook, and internet navigation).
  • Highly organized with strong planning skills and attention to detail.
  • Experience handling confidential information with discretion.
  • Capable of interacting with senior executives and external officials.
  • Availability to respond during evenings, weekends, and holidays as needed.
  • Familiarity with aviation terminology and experience using flight scheduling software.
  • Preferred proficiency in PFM and Flightbridge scheduling software.
  • Accounting experience is advantageous.
  • Must pass TSA and Port of Seattle background checks for ID badge issuance.
  • Possession of a valid passport and driver's license.
Education
  • High School Diploma is required; a Bachelor's Degree is preferred.
  • Dispatcher certification is a plus.
