Position Overview

At Hughes Marino, we offer our clients—who are tenants in various commercial settings—comprehensive lease management services. This position will primarily involve supporting our lease administrator in their duties and responsibilities, which include:

  • Compiling monthly client reports concerning lease timelines, expenses, portfolio data, and submissions.
  • Assisting in the resolution of client inquiries by analyzing lease and abstract information, lease conditions, and other pertinent data.
  • Supporting the preparation of lease abstracts and accurately entering data into lease management software while adhering to established processes.
  • Facilitating the processing of client rent rolls, landlord invoices, statements, and reconciling accounts and ledgers provided to the client by the landlord.
  • Assisting in the generation of export and variance reports for the client's accounting needs.
  • Reviewing client communications, follow-ups, and flagged tasks.

Qualifications and Skills

  • We seek an individual who is exceptionally detail-oriented, organized, and meticulous, with the capability to excel in a dynamic, fast-paced environment.
  • A foundational understanding of commercial leases and financial terminology is preferred.
  • Proficiency in performing and reviewing basic mathematical calculations.
  • Competence in essential Excel functions, formatting, and review is necessary.
  • Ability to engage in email correspondence and pose relevant questions based on lease agreements is preferred.
  • Capacity to build and maintain strong working relationships with clients, landlords, and internal stakeholders.
  • Able to assist multiple lease administrators to ensure efficient workflow.
  • Acting as a liaison between clients, landlords, and administrators is essential.
  • Capability to prepare and distribute reports accurately and promptly.
  • Understanding and identifying key lease dates is advantageous.
  • Must be a self-starter with a strong ability to manage multiple projects simultaneously and meet deadlines.
  • Impeccable attention to detail and high standards regarding data input and validation are required.
  • Effective time management skills and adaptability to changing priorities are essential.
  • Compensation will be determined based on the individual's skills, experience, and qualifications, within the range of $55,000 to $65,000.

Preferred Qualifications

  • Familiarity with commercial leases (non-residential) is advantageous.
  • A bachelor's degree is preferred, or an equivalent combination of education and experience.
  • Relevant experience in lease administration is preferred.
  • A general understanding of commercial lease administration processes from the tenant's perspective is beneficial.
  • Experience in reading and interpreting commercial real estate leases, including all related documents, terminology, and clauses is preferred.
  • Familiarity with lease administration databases is a plus; experience with Lease Harbor/Apex is advantageous.
  • Ability to work independently while also thriving in a team environment and approaching challenges with enthusiasm.
  • Strong organizational, oral, and written communication skills, along with excellent follow-up abilities, are essential.
  • Proficiency in Microsoft Office, particularly Excel, is required.
