Job Title: Clinic Manager

Role Summary: The Clinic Manager is tasked with providing essential supervisory leadership for both front and back-office personnel during assigned shifts. This role ensures that high-quality care is delivered in alignment with established policies and procedures, maintains efficient patient flow, and meets daily staffing requirements to guarantee optimal patient care, safety, and satisfaction. The Clinic Manager is accountable for the strategic planning, coordination, direction, and oversight of all operational facets of the clinic.

Key Responsibilities:

  1. Arrive prepared to fulfill job responsibilities at the start of the shift, adhering to break schedules as outlined by Families Together Orange County.
  2. Exhibit a professional appearance that reflects the standards of Families Together Orange County.
  3. Conduct research, compile, and analyze data for reporting purposes, identifying trends and presenting findings to supervisors.
  4. Support all programs and specialized services offered by FTOC.
  5. Generate daily reports on provider availability, inventory management, and staff meetings, ensuring comprehensive documentation.
  6. Oversee front office operations, including managing patient care-related phone calls, chart preparation, and appointment scheduling.
  7. Enhance clinic revenue by ensuring staff adherence to scheduling protocols and financial procedures.
  8. Implement and maintain FTOC's check-in and check-out processes.
  9. Foster staff satisfaction through effective orientation, communication, and team cohesion.
  10. Manage daily and monthly staffing schedules, including time-off requests, while maintaining budgetary productivity.
  11. Ensure regulatory compliance through staff training, quality checks, and electronic medical record reviews.
  12. Demonstrate respect and empathy towards patients and colleagues, promoting a supportive environment.
  13. Align with organizational goals related to customer service and fiscal responsibility.
  14. Proactively address requests for assistance from team members and work collaboratively to resolve issues.
  15. Build and maintain professional relationships within the community and among team members.

  31. Report operational progress and challenges to management on a regular basis.
  32. Monitor patient satisfaction through feedback mechanisms and respond appropriately.
  33. Complete compliance audits as required by the Quality Improvement Committee.
  34. Prepare for and successfully pass all clinic site evaluations.
  35. Communicate clearly and respectfully with patients and staff.
  36. Foster a positive work environment by avoiding negative behaviors.
  37. Respect confidentiality and privacy at all times.
  38. Take initiative to improve processes within the role and organization.

Education and Experience:

  • Minimum of 3-5 years of experience as a Medical Assistant in a clinical environment.
  • Bilingual in Spanish is required.
  • Bachelor's degree in healthcare administration or a related field.
  • Experience in managing healthcare facilities or clinics.
  • Proven experience in budget management and vendor negotiations.

Qualifications and Skills:

  • At least 3-5 years of experience in a community-based organization or health center.
  • Experience in customer service, patient registration, and insurance verification.
  • Demonstrated leadership abilities, including critical thinking and conflict resolution.
  • Strong interpersonal, writing, and oral communication skills.
  • Familiarity with organizational programs and services.
  • Exceptional organizational and planning capabilities.
  • Effective time management skills.
  • Proficient in electronic medical records and Microsoft Office applications.
  • Ability to maintain professionalism under pressure.
  • Minimum of 3-5 years of relevant experience.
  • Strong multitasking abilities in a fast-paced environment.
  • Detail-oriented with strong computer skills.
  • Responsive to the needs of both internal and external stakeholders.
  • Knowledge of EMR/EHR systems is preferred.
