Administrative Assistant Opportunity

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Herbert Rowland & Grubic. As an Administrative Assistant, you will provide administrative support to our engineering projects and business community involvement, ensuring seamless day-to-day operations.

Key Responsibilities:
  • Provide exceptional customer service, serving as the first point of contact for clients and visitors.
  • Manage incoming and outgoing mail, packages, and documents, ensuring timely and accurate processing.
  • Assist with bid and construction document preparation, utilizing knowledge of PennBid.
  • Support administrative professionals in other regional offices, promoting collaboration and efficiency.
  • Maintain office supplies, restock, and reorder as necessary to ensure adequate inventory.
  • Prepare and process letters, reports, marketing packages, and consulting proposals, utilizing Microsoft Office Suite.
  • Electronic and hard document filing, ensuring accurate and secure storage.
  • Track and document staff licensures, organizational dues, and other important information.
  • Assist with setting up new clients and projects, utilizing Deltek Vision or VantagePoint.
  • Record and distribute meeting minutes, ensuring accurate and timely communication.
  • Drive company vehicles to deliver plans, documents, and supplies within the designated area.
  • Assist with vehicle fleet maintenance, ensuring optimal performance and safety.
  • Support Assistant Vice President in various business activities, including marketing initiatives, event coordination, and sponsorship tracking.
Requirements:
  • H.S. Diploma or equivalent.
  • Associate's Degree in Business or Secretarial Science, preferred.
  • 2+ years' administrative experience supporting multiple managers and/or projects.
  • Outstanding organizational, multi-tasking, and communication skills.
  • Ability to prioritize and meet deadlines.
  • Ability to work independently with minimal direction.
  • Must be detail-oriented and possess excellent proofreading skills.
  • Intermediate proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
  • Has the legal right to work in the U.S.
