Key Responsibilities:

Financial Management

  • Act as liaison to external financial partners to ensure seamless financial operations.
  • Prepare and reconcile corporate credit accounts in a timely manner.
  • Manage staff timekeeping and expense reports, ensuring accuracy and compliance.

  • Oversee petty cash management and development.

Human Resources Management

  • Maintain accurate and up-to-date benefit accrual information for staff.
  • Support new hires with benefit administration, ensuring a smooth onboarding process.
  • Manage the organization's timekeeping system, ensuring efficiency and accuracy.
  • Act as liaison to external HR partners to ensure compliance and best practices.
  • Develop, implement, and review operational policies and procedures as directed.
  • Promote a positive organizational culture that fosters top performance and high morale.

Systems and Technology

  • Act as liaison to external technology partners to ensure seamless system operations.
  • Manage asset inventory and maintenance for the organization.
  • Troubleshoot technology issues and develop best practice procedures.
  • Recommend and implement internal processes and practices to improve efficiency.

Organizational Support

  • Support the Executive Director in Board of Directors management and operations.
  • Manage the organization's accreditation and membership with the Pennsylvania Association of Nonprofit Organizations (PANO).
  • Oversee general office operations, including correspondence, supply management, and contract administration.
  • Coordinate scheduling, logistics, and materials for internal and external meetings.
  • Perform other duties as assigned by the Executive Director.

Qualifications:

  • Bachelor's degree preferred.
  • 3-5 years of related experience.
  • Experience with database systems and comfort with learning, implementing, and teaching technology.
  • Proficiency in MS Office programs.
  • A successful track record in setting priorities and managing multiple projects.
  • Keen analytical, organizational, and problem-solving skills.
  • Ability to work effectively as a team member, including managing up and sideways.
  • Effective time management skills.
  • Discretion and respect for information privacy.
  • Personal qualities of integrity, credibility, and dedication to the mission of Breathe Pennsylvania.
  • Ability to obtain and maintain State and Federal clearances as required for this position.
  • Ability to travel by automobile when requested and possess a valid Pennsylvania driver's license.
  • Ability to lift up to 30 pounds.
  • Understanding of Breathe Pennsylvania's policies, procedures, mission, goals, objectives, and organizational values.

Hiring Salary: $50,000 - $55,000 annually.
