Sales Coordinator

JOB OVERVIEW

The Sales Coordinator role is essential for delivering administrative assistance to the dealership's sales personnel, focusing on the organization and execution of equipment sales. This position collaborates closely with Sales Operations to manage sales transactions, maintain records, facilitate warranty enrollments, and oversee customer billing processes. The role also supports Territory Sales needs by handling customer interactions, pricing inquiries, inventory checks, and service requests.

BASIC QUALIFICATIONS

A High School Diploma (or equivalent) is mandatory.

A minimum of three years of relevant experience is preferred.

Proficiency in standard office equipment, including computers, calculators, printers, copiers, and fax machines, is required.

Familiarity with basic Microsoft applications, Lotus Notes, web browsers, and the ability to learn proprietary software is necessary.

Effective communication skills with customers, colleagues, vendors, and management are essential.

Demonstrated ability to provide exceptional customer service and represent the company professionally is expected.

Confidentiality regarding sensitive corporate information must be maintained.

Ability to work collaboratively in a team-oriented environment is crucial.

KEY RESPONSIBILITIES

• Prepare sales agreements and shipping documentation for equipment sales, loans, and demonstrations.

• Assist in the creation and distribution of business documents, reports, and sales and marketing materials for evaluation.

• Collect necessary materials and process sales transactions, coordinating with the Accounting Department for customer invoicing.

• File available sales rebate and incentive programs with suppliers.

• Support Territory Sales Representatives with sales transaction documentation and customer history.

• Generate work authorization documentation for required services from the Service Department.

• Utilize the dealership's business system to retrieve customer and equipment data.

• Prepare written reports and recommendations as needed by the dealership.

• Communicate verbal recommendations as required by the dealership.

SAFETY

• Adhere to all company and customer safety protocols, ensuring a safe, clean, and organized workspace, and actively participate in safety improvement initiatives.

• Must be capable of wearing Personal Protective Equipment (PPE) as required by the role.

CUSTOMER SATISFACTION

• Address all customer inquiries in a professional, courteous, and timely manner.

• Maintain a professional appearance that aligns with company standards.

• Keep management informed to assist in resolving customer queries and issues as necessary.

• Availability to work a standard five-day schedule, including overtime and occasional weekends as required.

• Meet all eligibility criteria to operate company vehicles, including possessing a valid driver's license and maintaining current motor vehicle liability insurance.

PHYSICAL REQUIREMENTS

• Successfully pass a pre-employment background check, physical examination, and drug screening, and meet all physical demands of the position.

• Ability to lift 20-50 pounds occasionally.
