Sales Coordinator
JOB OVERVIEW
The Sales Coordinator role is essential for delivering administrative assistance to the sales team within the dealership, focusing on the organization and execution of equipment sales. This position collaborates closely with Sales Operations to manage sales transactions, maintain records, enroll warranties, and oversee customer billing processes. The role also supports Territory Sales by handling sales transaction requirements, which include customer interactions, pricing inquiries, inventory checks, and service requests.
BASIC QUALIFICATIONS
A High School Diploma (or equivalent) is required.
A minimum of three years of relevant experience is preferred.
Proficiency in standard office equipment such as computers, calculators, printers, copiers, and fax machines is necessary.
Familiarity with basic Microsoft applications, Lotus Notes, web browsers, and the ability to learn proprietary software is essential.
Effective communication skills with customers, colleagues, vendors, and management are required.
Excellence in customer service and a professional representation of Thompson Machinery are expected.
Confidentiality regarding sensitive corporate information must be maintained.
The ability to work effectively in a team-oriented and collaborative environment is crucial.
KEY RESPONSIBILITIES
Prepare sales agreements and shipping documentation for the transfer of equipment sales, loans, and demonstrations.
Assist in the preparation and distribution of business documents, reports, and sales and marketing materials for analysis.
Gather necessary materials and process sales transactions, collaborating with the Accounting Department for customer invoicing.
File available sales rebate and incentive programs with suppliers.
Support Territory Sales Representatives with sales transaction documentation and customer history.
Generate work authorization documents for services required from the Service Department.
Utilize the dealership's business system to extract customer and equipment information.
Prepare written reports and recommendations as needed by the dealership.
Communicate verbal recommendations as required by the dealership.

Adhere to all company and customer safety protocols, ensuring a safe, clean, and organized work environment, and actively participate in safety improvement initiatives.
Must possess the physical capability to wear Personal Protective Equipment (PPE) as required by the job.

Respond to all customer inquiries in a professional, courteous, and timely manner.
Maintain a clean and professional appearance, adhering to company standards for professionalism.
Keep management informed to assist in addressing customer questions and concerns as necessary.

Meet all eligibility requirements to operate company vehicles, including possessing a valid driver's license and maintaining current motor vehicle liability insurance.
PHYSICAL REQUIREMENTS
Pass pre-employment background checks, physical examinations, including drug screenings, and meet all physical demands of the position.
Ability to lift 20-50 pounds occasionally.
