We are currently in need of a Senior Executive Support Specialist who will serve as a vital resource for our CEO and the executive leadership team. The ideal candidate will possess a proactive approach to problem-solving, outstanding communication abilities, and a keen eye for detail. Experience in supporting high-level executives in an office setting, performing administrative tasks, and assisting multiple leaders is essential. Given the fast-paced nature of the executive environment, we depend on our executive assistant to be adaptable and reliable while safeguarding the confidentiality of sensitive operations.

Key Responsibilities:

  • Primarily assist the CEO while also providing support to other executive team members as needed to ensure the achievement of company objectives and the smooth operation of daily activities.
  • Strategically plan and manage tasks to ensure the CEO's priorities are met and organizational goals are fulfilled.
  • Oversee complex scheduling and calendar management, as well as the flow of information to senior executives.
  • Handle both professional and personal scheduling for the CEO, including managing agendas, correspondence, and client interactions.
  • Coordinate intricate travel arrangements, both domestic and international, for the CEO and executive leadership team members.
  • Prepare and submit expense reports for the CEO, and review and authorize expense reports for the leadership team.
  • Facilitate communication with employees by acting as a liaison with internal and external executives on various projects.
  • Prepare, review, and organize all materials for quarterly Board of Directors meetings.
  • Coordinate logistics for Board of Directors meetings, including communications, accommodations, and reimbursements.
  • Plan and execute employee engagement initiatives, both on-site and off-site, and actively participate in sustainability efforts on behalf of the organization.
  • Provide comprehensive administrative support, including proficiency in PowerPoint, Word, Excel, and Google applications.
  • Uphold professionalism and maintain strict confidentiality with all sensitive materials.

Qualifications:

  • A minimum of five years of experience in an executive administrative role supporting senior leadership.
  • Exceptional written and verbal communication skills.
  • Strong organizational and time-management abilities, with the capacity to manage multiple projects simultaneously.
  • Proficiency in office productivity software and a willingness to learn new systems.
  • A flexible team player who is adaptable to change and embraces challenges.
  • Ability to maintain confidentiality regarding company and employee information.
  • Experience in managing budgets and expenses.
  • Proven track record in developing internal processes and filing systems.
