Role Summary

The Access Services Coordinator is responsible for performing administrative and reception duties within the Access Services Department, ensuring seamless coordination with other departments as necessary.

Key Responsibilities

  • Facilitate the scheduling of rapid access appointments.
  • Initiate connections to assign clinicians for appointments.
  • Monitor clinician wait times and provide feedback on workflow efficiency.
  • Manage incoming calls and respond to messages promptly.
  • Accurately check-in and check-out patients in a timely manner.
  • Process transactions, including opening batches and collecting co-pays.
  • Verify insurance details and update Primary Care Providers as needed.
  • Confirm demographic information during patient check-in.
  • Understand and manage alerts effectively.
  • Familiarity with sliding fee scales, waiver forms, and record release procedures.
  • Add insurance cards and patient photos to electronic charts.
  • Guide and register patients for the patient portal.
  • Ensure all necessary signatures are obtained on patient forms.

Qualifications

  • High School Diploma or equivalent required.
  • At least one year of experience in a community behavioral health setting.
  • Knowledge of substance use services is essential.
  • Ability to manage multiple tasks in a fast-paced environment.
  • Strong organizational and communication skills are necessary.
  • Maintain composure and empathy when interacting with clients.
  • Proven ability to collaborate with other professionals while maintaining appropriate boundaries.
  • Commitment to diversity and cultural competency.
  • Bilingual skills (English/Spanish or English/Portuguese) are preferred.
