Position Title:

Legal Support Specialist

Job Overview:

We are seeking a Legal Support Specialist to undertake foundational responsibilities that involve assisting, coordinating, and preparing for cases designated for prosecution by the municipal legal office.

About the Role:

This position will rotate through various legal support functions, including: arraignment, traffic violations, domestic abuse cases, record expungements, restitution processes, bond forfeitures, payroll management, procurement of office supplies, accounts payable, and additional tasks as required.

The ideal candidate will possess a High School Diploma or equivalent and have clerical experience.

About the Team:

This role is part of the Attorney's Office and operates within the District Attorney's Office. The team consists of 1 City Attorney, 2 First Assistant Prosecutors, 14 Associate City Prosecutors, 1 Assistant City Prosecutor, 1 Law Office Manager, 1 Senior Legal Support Specialist, 9 Legal Support Specialists (soon to be 10), 3 Paralegals, and 1 Victim Advocate.

This position reports directly to the Law Office Manager.

Work Schedule:

Initial Training Period: In-person training is required from Monday to Friday from 8:00 a.m. to 5:00 p.m.

Post-Training Schedule: In-person work is required three days a week, with Wednesdays being mandatory in-person days. Employees may work from home for two days a week. The work schedule can be either Monday to Friday from 8:00 a.m. to 5:00 p.m. or 7:00 a.m. to 4:00 p.m.

Salary Range:

$18.23/hr. to $30.08/hr. The established market rate for this position is $24.16/hr. Compensation will be based on the candidate's qualifications and experience.

Key Responsibilities:

  • Prepares criminal cases for court, including formal information summons, bench warrants, complaints, court docket files, and other legal documents. Prepares necessary documents for review by Prosecuting Attorneys.
  • Obtains police reports, criminal records, driving histories, and requests other supporting evidence for criminal cases. Makes copies or enters documents into computerized systems and appropriately distributes information.
  • Performs complex clerical tasks with precision; establishes and maintains effective working relationships with colleagues and other departments.
  • Prepares legal pleadings, subpoenas, discovery responses, and other supporting legal documents and correspondence as directed by the City Prosecutor and/or Prosecuting Attorneys.
  • Maintains a calendar of arraignments, pre-trial, and other hearings, including jury and non-jury trials. Prepares and maintains the office/court calendars of these events, keeping the Prosecutor(s) informed of all schedules and case requirements.
  • Manages and utilizes a complex computerized filing system in accordance with departmental policies and procedures. Files documents into appropriate case files and ensures that files are current with all relevant document information.
  • Handles inquiries and responds to questions, both in person and over the phone, from the public, various law enforcement agencies, and defendants. Provides information and referrals as necessary and routes specific requests to the appropriate agency or City Prosecutor. Answers telephones and in-person inquiries utilizing knowledge of attorney schedules, city policies, civil and criminal procedures, community resources, and relevant ordinances.
  • Receives reports and notifications from various law enforcement agencies and courts. Notifies the Prosecutor of witness unavailability, the location of current case files, and sends short notice subpoenas to the appropriate parties. Schedules screening appointments as directed by staff Prosecutors. Updates court calendars, pleas, and other supporting documents and activities critical to case files.
  • Performs additional duties as assigned.

Minimum Qualifications:

  • High school graduation or equivalent, plus some clerical experience.
  • Ability to learn new computer programs and operate various standard office equipment.
  • Demonstrated ability to follow instructions and comply with established policies and procedures.
  • Ability to handle sensitive materials confidentially.
  • Ability to relate to individuals from diverse socio-economic and racial/ethnic backgrounds.
  • Effective communication skills, both written and verbal.
  • Must be certified by the Bureau of Criminal Investigations within three months of hire date.
  • Ability to become a notary within six months.

Preferred Qualifications:

  • Familiarity with relevant legal office computer programs.

Career Advancement:

  • Incumbents may be eligible for promotion after four years of successful performance, demonstrating the ability to apply knowledge and skills to a wide range of issues. Promotion to Senior Legal Support Specialist may occur upon recommendation from the City Prosecutor, with approval from the City Attorney, available funding, and concurrence from the Human Resource Department.

Working Conditions:

  • Light physical effort with generally comfortable working conditions. Minimal exposure to environmental hazards. Occasionally required to lift moderate weights.
  • Intermittent exposure to stress due to human behavior.
