Under the guidance of the Lead HR Generalist, the HR Administrative Specialist will deliver essential support to the Human Resources division, encompassing various tasks such as record maintenance, employee onboarding, spreadsheet management, and addressing employee inquiries.

This role aims to provide clarity to employees, management, applicants, and external agencies regarding job expectations, organizational placement, and the necessary skills and responsibilities associated with various positions. It is important to note that job roles are subject to evolution, and the existence of an approved job description does not restrict the natural progression and adaptation of duties.

Key Responsibilities:

  • Facilitate the complete recruitment process from sourcing candidates to onboarding, which includes screening applicants, scheduling interviews, conducting background checks, processing new hire documentation, and uploading necessary files into the HR Information System (HRIS).
  • Collaborate with the HR Generalist and relevant stakeholders, participating in recruitment events as required.
  • Assist in organizing and executing orientation sessions for new employees.
  • Maintain comprehensive recordkeeping systems, ensuring forms control and personnel requirements are met, while implementing necessary updates.
  • Support the coordination, monitoring, and collection of mandatory training sessions alongside the HR Generalist and Training Specialist for both new and existing personnel.
  • Establish and preserve historical human resource records (both electronic and physical), ensuring compliance with relevant standards.
  • Follow up with candidates and document interactions during the interview and hiring process.
  • Initiate communication with appropriate staff regarding upcoming annual requirements.
  • Generate and distribute HR reports to various HR and business teams.
  • Contribute to team objectives by achieving related outcomes as necessary.
  • Adhere to company-enforced HR protocols and current employment legislation.
  • Perform additional duties as assigned by the supervisor.
Communication:
  • Engage in a collaborative approach with colleagues to ensure compliance across the agency.
  • Promptly report significant concerns and issues to the Supervisor, actively seeking their guidance in resolving such matters.
  • Follow the established chain of command when addressing problems or areas needing attention.
  • Solicit and collaborate with support staff as needed.
  • Actively participate in decision-making processes as a proactive team member, aligning with team decisions, whether they are programmatic or clinical.
  • Provide on-site coverage as required by the agency's needs.
  • Attend staff meetings, nonclinical supervision sessions, scheduled training, and any other regular or assigned gatherings.
  • Facilitate effective communication flow.
Education: A minimum of a High School Diploma or equivalent is required; a Bachelor's Degree in Human Resources, Business Administration, or a related field is preferred.

Experience:
  • At least 2 years of experience in office administration, demonstrating leadership capabilities.
  • Familiarity with operational, quality assurance, and human resource policies and regulations is advantageous.
  • 1-3 years of relevant administrative experience.
  • Ability to self-motivate and work independently in a dynamic and evolving environment.
  • Exemplary integrity with the capacity to manage sensitive and confidential information professionally.
  • Proficient in Microsoft Word, Excel, PowerPoint, and Outlook.
Qualifications:
  • Successful completion of criminal background checks, fingerprinting, and other pre-employment screenings is required.
  • Must possess reliable transportation, maintain appropriate vehicle insurance, and hold a valid driver's license.
  • Willingness to travel to other office locations, if necessary.
