Under the guidance of the Lead HR Generalist, the HR Administrative Specialist will deliver essential support to the Human Resources division, encompassing tasks such as record management, employee onboarding, spreadsheet creation and updates, as well as addressing employee inquiries and concerns.

This role is pivotal in providing clarity to employees, management, applicants, and external agencies regarding job functions, organizational structure, and the necessary skills and responsibilities associated with various positions. It is important to note that job roles are subject to evolution, and the presence of an approved job description does not restrict normal changes and advancements.

Key Responsibilities:

  • Facilitate the complete recruitment process from sourcing candidates to onboarding, which includes screening applicants, scheduling interviews, conducting background checks, processing new hire documentation, and managing related tasks.
  • Collaborate with the HR Generalist and relevant stakeholders, participating in recruitment events as necessary.
  • Assist in organizing and executing orientation programs for new employees.
  • Maintain and update recordkeeping systems, ensuring compliance with personnel requirements and implementing necessary changes.
  • Support the coordination, monitoring, and collection of mandatory training sessions alongside the HR Generalist and Training Specialist for both new and existing personnel.
  • Establish and uphold historical human resource records (both electronic and physical), ensuring compliance with applicable standards.
  • Follow up with candidates and document interactions regarding interviews and new hires when responses are not received.
  • Initiate communication with relevant personnel when annual reviews are due.
  • Generate and distribute HR reports to various HR and business teams.
  • Contribute to team objectives by achieving related outcomes as required.
  • Adhere to company-enforced HR processes and current employment laws and regulations.
  • Perform additional duties as assigned by the supervisor.
Communication:
  • Engage in a collaborative approach with colleagues to ensure compliance across the agency.
  • Promptly report critical issues and concerns to the Supervisor, actively seeking their guidance in resolving such matters.
  • Follow the established chain of command when addressing problems or areas requiring attention.
  • Encourage and cooperate with the assistance of all support staff.
  • Actively participate in decision-making processes as a proactive team member, aligning with team decisions, whether they are programmatic or clinical.
  • Provide coverage on-site or as assigned based on agency needs.
  • Attend staff meetings, supervision sessions, planned training, ongoing education, and any other regular or assigned meetings.
  • Facilitate the flow of information within the team.
Education: A minimum of a High School Diploma or equivalent is required; a Bachelor's Degree in Human Resources, Business Administration, or a related field is preferred.

Experience:
  • At least 2 years of experience in office administration, demonstrating leadership capabilities.
  • Familiarity with operational, quality assurance, and human resource policies and regulations is advantageous.
  • 1-3 years of relevant administrative experience.
  • Ability to self-motivate and work independently in a dynamic and fast-paced environment.
  • Exemplary integrity with the capacity to manage sensitive and confidential information professionally.
  • Proficient in Microsoft Word, Excel, PowerPoint, and Outlook.
Qualifications:
  • Must successfully pass a criminal background check, fingerprinting, and HCWR check as a prerequisite for employment consideration.
  • Must possess reliable transportation, maintain the required level of vehicle insurance, and hold a valid driver's license.
  • Willingness to travel to other office locations, if necessary.
