Job Summary:

Lone Star Ranch & Riding Club, a premier working ranch in the heart of Austin, Texas, is seeking a highly organized and detail-oriented Administrative Assistant to support the planning and coordination of events, manage bookings, and handle scheduling needs.

Key Responsibilities:
  • Scheduling & Bookings:
    • Manage bookings for public trail rides, corporate events, and private excursions.
    • Coordinate the schedules of wranglers, event staff, and ranch resources, ensuring optimal efficiency and guest satisfaction.
    • Handle rescheduling requests, cancellations, and booking modifications.
  • Event Coordination:
    • Assist in the planning and organization of events, including corporate gatherings, private parties, and ranch activities.
    • Work closely with the event team to ensure all logistics are handled efficiently and on time.
  • Administrative Duties:
    • Maintain and organize digital files, spreadsheets, and documentation related to ranch activities.
    • Prepare and distribute event itineraries, booking confirmations, and schedules.
    • Assist with invoicing, payments, and other general administrative tasks.
  • Guest Relations:
    • Serve as a point of contact for guest inquiries, providing excellent customer service via phone and email.
    • Ensure a smooth and welcoming booking process, addressing any concerns or special requests from clients.
    Required Skills & Qualifications:
    • Proficiency in Google Suite (Docs, Sheets, Calendar, Gmail, etc.).
    • Strong organizational skills with attention to detail.
    • Excellent written and verbal communication skills.
    • Ability to manage multiple tasks and prioritize effectively in a dynamic environment.
    • Customer service experience preferred.
    • Ability to work independently and collaborate as part of a team.
    • Must be local to Austin, TX area.
    Preferred Qualifications:
    • Previous experience in event coordination, scheduling, or administrative roles.
    • Familiarity with ranch operations or hospitality is a plus.
