ROLE SUMMARY:

As a highly organized and detail-focused professional, you will excel in addressing operational challenges while providing essential support to several key executives. This role requires you to be a vital collaborator with the executive team, managing various special projects and initiatives. We are looking for a proactive, technology-savvy leader who can work independently and bring innovative solutions to the table. This position is ideal for someone passionate about supporting leaders and dedicated to their success. The perfect candidate will efficiently manage multiple responsibilities, anticipate needs, and maintain strong relationships with executives and team members.

KEY RESPONSIBILITIES:

  • Deliver high-level administrative assistance to the C-Level Team, including calendar management, appointment scheduling, and meeting organization.
  • Serve as a key contact for critical initiatives across various business units.
  • Prepare and coordinate materials for meetings, presentations, and reports.
  • Be available to work outside of standard business hours as necessary.
  • Draft, proofread, and edit communications on behalf of the C-Level Team.
  • Manage travel arrangements, including flights, accommodations, and itineraries.
  • Lead diverse special projects with a focus on detail and outcomes.
  • Conduct research and compile information to aid in decision-making.
  • Plan and coordinate events, private dinners, receptions, and business functions.
  • Assist with personal tasks such as scheduling, vendor management, and research.
  • Coordinate with pharmacies for prescription refills and new orders.
  • Provide information with discretion, requiring a thorough understanding of the Executive's responsibilities and company policies.
  • Prepare documents, including presentations and correspondence.
  • Collaborate with other team members on various projects.
  • Manage reporting and data for key executives.
  • Support team members in organizing enjoyable activities and office support.
  • Act as a representative and ambassador to external stakeholders as needed.
  • Assist with expense management, contract negotiations, and financial reconciliation.

QUALIFICATIONS:

  • Bachelor's degree with a minimum of 5 years of experience as an Executive Assistant.
  • Strong work ethic and self-motivated.
  • Exceptional organizational skills with a keen eye for detail.
  • Willingness to learn and grow; open to feedback and development.
  • Experience in project management.
  • Friendly and approachable demeanor.
  • Proven experience in providing executive support.
  • Professional appearance and conduct at all times.
  • Ability to work in a collaborative office environment.
  • Proficient in Google Suite, Zoom, Slack, and LinkedIn.
