Who We Are Looking For
An Administrative Support Specialist is tasked with executing general office responsibilities and administrative functions, including managing communications between colleagues and clients, coordinating schedules and events, data entry, bookkeeping, and ensuring the maintenance of office equipment.
What You Will Work On
- Addressing administrative inquiries and requests from senior management and clients.
- Coordinating and scheduling appointments, meetings, and events using administrative software.
- Managing phone calls and directing callers to the appropriate personnel, department, or voicemail to ensure all inquiries are handled.
- Overseeing office supply inventory by monitoring stock levels, anticipating needs, placing and expediting orders, and confirming receipt of supplies to maintain organization.
- Arranging travel logistics such as flights, accommodations, and rentals for clients, executives, and agents.
- Preparing and modifying documents including reports, emails, and other correspondence.
- Sorting and managing incoming mail. Preparing labels and tracking outgoing mail as requested by staff and clients.
- Collaborating with IT departments regarding any technical issues with equipment, internet, or applications. Ensuring new employees receive their necessary equipment and credentials.
- Exhibiting flexibility and adaptability to changes in procedures and systems.
- Prioritizing tasks effectively to meet deadlines.
- Demonstrating excellent communication skills, with the ability to convey information and instructions clearly, confidently, and concisely, both verbally and in writing.
- Manually entering data into databases and other systems as required.
As an Administrative Support Specialist, you will collaborate directly within our Operations Department. You will engage with various teams, including IT and senior management.
What You Will Bring
- Preferred critical thinking, evaluation, and analytical skills.
- Proficiency in MS Office, particularly MS Excel, Outlook, and PowerPoint.
- Experience with Winteam is advantageous.
- Prior experience in bookkeeping or administrative roles is preferred.
- Strong organizational abilities with the capacity to manage multiple tasks simultaneously.
- Multilingual candidates are preferred.
