About the Job

The Administrative Assistant/Human Resources role is a key position within our organization, providing critical support to the Administrative Suite. This individual will be responsible for coordinating daily operations, ensuring administrative functions are carried out promptly, and maintaining administrative files.

Key Responsibilities
  • Performs a broad range of administrative duties, relieving the Administrative Suite of minor details and maintaining workflow during their absence.
  • Makes administrative decisions and takes action on behalf of the Administrative Suite within agreed-upon limitations.
  • Responsible for scheduling and preparing agendas for regular and special meetings, securing requested information, and compiling various reports and studies.
  • Exercises independent judgment and discretion in handling matters of significance related to financial services and contracts.
  • Handles correspondence, requests for appointments, and telephone calls for the Administrative Suite, routing them to others or dealing with them on own initiative when appropriate.
  • May take and/or transcribe confidential or highly technical dictation, keep minutes of meetings, and perform other secretarial functions.
  • Provides prompt responses to requests for service from all customers, internal and external, and coordinates activities related to managing the office organization and required processes.
Requirements
  • Possess the ability to deal tactfully with personnel, visitors, and the general public, displaying patience and enthusiasm.
  • Maintains care and use of supplies, etc., and the appearance of the office.
  • Follows dress code policy by representing a professional and positive appearance and image.
  • High School Graduate
  • Good interpersonal and communication skills.
  • Minimum of 3 years' experience in an administrative or executive secretary position or similar experience.
