POSITION SUMMARY:

The role involves assisting the program coordinator in the daily functions of the weatherization department. Responsibilities include customer support, conducting intake assessments, data management, scheduling appointments, and overseeing inventory for necessary materials. The ideal candidate will ensure efficient handling of incoming communications and timely responses to client inquiries while maintaining accurate data records. Additionally, the role requires managing essential documentation and appointment scheduling. A successful candidate will be organized, non-judgmental, and possess strong communication abilities.

WORK SCHEDULE:

This is a full-time position, requiring 40 hours of work per week, with flexibility to accommodate the needs of the client population. The role may necessitate working at various locations as required.

KEY DUTIES AND RESPONSIBILITIES:

  • Provide comprehensive administrative support, including managing phone calls, emails, and scheduling home assessments.
  • Data Management - Accurately input and maintain client data in the relevant database.
  • Organize and ensure completeness of all documentation.
  • Assist clients with inquiries, providing information about programs and updates on their status.
  • Support job coordination with subcontractors to ensure timely scheduling.
  • Communicate updates to management as necessary.
  • Ensure compliance with invoicing and billing regulations.

CONFIDENTIALITY:

Access to program files is granted, and maintaining confidentiality in accordance with state and federal laws is essential.

QUALIFICATIONS:

To be successful in this role, candidates must meet the following qualifications:

  • High School Diploma or equivalent.
  • Experience in an administrative capacity within a social service or non-profit environment.
  • Proficiency in Microsoft Word, Excel, Outlook, and general computer skills.
  • Strong attention to detail and organizational skills.
  • Excellent verbal and written communication skills.
  • Experience in customer service and client relations.
  • Familiarity with local, state, or federal weatherization programs is preferred.
  • Bilingual in Spanish is a plus.
  • Ability to provide and maintain required immunizations.

PHYSICAL DEMANDS:

The physical requirements for this position include the ability to sit, walk, stand, bend, and lift up to 70 lbs. Vision requirements include close and distance vision, peripheral vision, and depth perception. The work environment may vary based on client needs.
