ROLE SUMMARY:
The Administrative Support Specialist for our Behavioral Health division will serve as the initial point of contact for clients and patients at the front desk. This role requires maintaining confidentiality and meticulous attention to detail in our Electronic Health Record system, ensuring accurate documentation of vital signs, lab results, patient communications, and screening tools. Responsibilities also include managing the collection of urine samples and processing orders electronically. The specialist will schedule appointments with healthcare providers and make necessary adjustments to the schedule. It is essential to gather and verify current demographic information from clients and patients. Additionally, the specialist will handle incoming calls with professionalism and direct clients to appropriate internal and external resources as needed. Daily tasks include verifying insurance eligibility and confirming appointments for the following day.
WORK SCHEDULE REQUIREMENTS:
- This is a full-time role.
- Part-time hours may be assigned as directed by management.
- Evening shifts may be required.
- Occasional unscheduled overtime may be necessary due to staffing needs.
- Flexibility to work at various locations may be required.
KEY DUTIES:

- Process patient check-ins and manage patient data in the Electronic Health Record (EHR).
- Operate and maintain necessary clinical equipment.
- Prepare patients for examinations and tests.
- Ensure proper disposal of medical waste and sharps.

- Schedule and cancel appointments efficiently.
- Confirm insurance eligibility and next-day appointments.
- Document accurately in the EHR.
- Maintain cleanliness and stock of examination rooms.
- Assist healthcare providers during patient consultations.
- Notify relevant personnel regarding supply needs.
- Answer phone calls courteously and take clear messages.
- Secure the department at the end of the shift, ensuring all equipment is unplugged and medication cabinets are locked.
- Demonstrate proficiency in computer usage.
- Complete necessary paperwork and documentation.
- Handle lab and state transmittals.
- Perform additional duties as required.
QUALIFICATIONS:
- High school diploma or GED is required.
- Medical Assistant Certification is preferred.
- Experience with triage is beneficial.
- Maintain all required immunizations and vaccinations.
- Strong organizational skills are essential.
- Excellent communication skills for effective interaction with clients, providers, and colleagues.
- Professional telephone etiquette is required.
- Current CPR (BLS) certification or willingness to obtain.
- Bilingual/Bicultural Spanish skills are a plus.
CONFIDENTIALITY:
This position involves full access to client medical records and limited access to financial/statistical information. Maintaining client confidentiality in accordance with applicable laws and organizational policies is crucial.
PHYSICAL DEMANDS / ENVIRONMENT:
The physical requirements and work environment for this role include moderate physical activity such as walking, standing, sitting, bending, and occasional lifting. Frequent use of telephones, writing, typing, and verbal communication is necessary. The ability to sterilize instruments and maintain cleanliness in waiting and examination rooms is required. Reasonable accommodations will be made for individuals with disabilities. There is potential exposure to bloodborne pathogens and other infectious materials, necessitating adherence to universal precautions. The role may involve lifting items up to 20 lbs.
