Key Responsibilities- Leadership and Supervision: Direct supervisory responsibility for the daily operations of the Office Services Department, copy center, and staff. Participate in the daily duties rotation as part of the coverage team.
- Project Coordination: Coordinate and oversee department projects, day-to-day operations, and long-range plans.
- Process Improvement: Recommend and implement changes and improvements in methods and procedures to higher-level management.
- Staff Development: Ensure current knowledge of firm policies and practices for office services staff, current knowledge of industry trends, and ongoing professional development of office services staff.
- Strategic Planning: Engage in strategic (long-range) planning by developing departmental goals and supporting objectives for other departments and practice groups.
- Policy Administration: Administer, comply with, and understand office/firm operation, policies, and procedures.
- Departmental Guidelines: Develop and communicate departmental guidelines and procedures to promote efficiency, effectiveness, excellent customer service, and improved employee relations, in alignment with the firm's culture and values.
- Service Delivery: Ensure accurate and timely responses to requests for departmental services.
- Performance Management: Effectively utilize the firm's performance management process to communicate performance expectations, monitor performance, coach employees, provide guidance in the resolution of problems, and manage unsatisfactory performance.
- Time and Attendance: Monitor time, attendance, and overtime to ensure accuracy and compliance with firm policies.
- Recruitment and Training: Participate in the interviewing, selection, and training process.
- Financial Management: Assist with finances, inclusive of annual budget creation/monitoring, approving invoices, cost analysis, and researching/negotiating vendor contracts.
- Vendor Management: Research and select products needed to support the department and office. Direct and monitor activity of subcontracted vendors (i.e., copiers, electrical, and HVAC).
- Resource Management: Manage firm resources responsibly.
- Additional Duties: Perform other related duties as assigned.
- Qualifications: Five plus years of prior law firm experience in office services or facilities, with 3 or more years' experience as a supervisor.
- Education: Bachelor's degree preferred.
- Computer Skills: Computer proficiency in Windows-based software and Microsoft Office Suite applications, including Word, PowerPoint, Excel, and Outlook.
